Corporation for National and Community Service, 1999 Bryan St., Suite 2050, Dallas, TX 75201, Attention: Bettye Hammond, Phone 214-880-7069, FAX 214-880-7077, REQUESTS FOR BIDS Due Date November 26, 2001, C.O.B. The Corporation for National and Community Service, a wholly-owned Federal Government Corporation, intends to award a contract to a qualified vendor in Hot Springs, Arkansas, who can provide lodging, catering, and meeting space for up to three hundred (300) participants during an AmeriCorps Cross-Stream Conference. The event will occur during the week of April 24-26,2002, and will require sleeping space for double occupancy with access to individual beds, for a total of 300-325 room nights. Meeting Overview: The facility must have the ability to establish three separate billing accounts for this event. Additionally, the facility must have a general session room which will accommodate up to 300 persons classroom style and ten (10) breakout rooms to accommodate 30-35 persons each. Audio/visual needs will be a standing podium, flip charts & markers, overhead projectors, lapel microphone, and a hand held wireless microphone.=20 LODGING: Up to 300 people/150 doubles, and up to 12-15 singles MEALS AND MEETING ROOM SPECIFICATIONS: Prefer buffet meals, except as indicated: The specific meeting requirements for the event are as follows: DAY 1 -- A registration space with six (6) six-foot skirted tables to accommodate a flow of registrants from 8:00 a.m. until 11:00a.m.=20 Morning Meeting room needs: A general session room set classroom style for up to 300 people with table at front to accommodate speakers needs, including podium and microphone. Audio-visual needs include a large projection screen (10ft x 10ft), an audio-visual cart with overhead projector, an extension cord, and wireless lapel. Buffet lunch for 315 persons. Afternoon meeting room needs: Ten (10) breakout rooms for workshops to accommodate 30-35 persons (set-up variable), with an overhead projector, screens, flip chart and markers in each of the rooms. Afternoon beverage break for 315 persons (prefer in room breaks). Dinner served in the evening for 315. DAY 2 -- Full hot breakfast, mid-morning break, lunch, afternoon break, and plated dinner banquet for 315. A registration table set outside the general session room. Ten(10) meeting rooms and audio/visual the same as Day 1 P.M. DAY 3 -- Full hot breakfast, and morning break for 315.=20 Meeting room and audio/visual needs the same as Day 2 All activities will conclude by 12:30 p.m. To be considered, bids need to include the following information: (1) Per night sleeping room rate for single and double occupancy; (2) Per person meal charges for day 1-3. The selected vendor must be prepared to provide vegetarian and kosher meals. Approximately 15-25% of all meals will be vegetarian; (3) If bid is made on a per person cost inclusive of all costs, a single night cost must be provided for guests staying for less than full event and food costs for participants not staying at hotel; (4) Charges for meeting space and individual items of audio-visual equipment; (5) Parking for participants and at what cost; (6) A description of the shuttle service available to and from the airport and any costs associated with shuttle transportation; (7) reduced costs for staff requiring lodging on-site, based upon number of overnight quests; (8) Vendor must provide on-site representation during all dates of the event for coordination, problem solving and decision making. Only facilities within the Hot Springs, Arkansas commuting area need apply. Quotation must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the: Bettye Hammond, Corporation for National and Community Service, 1999 Bryan, Suite 2050, Dallas, TX 75201. Responses to this RFQ are due at the above office by Close of Business (COB) November 26, 2002. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. All proposed prices must be inclusive. For example, audio-visual rentals and the cost of food must include gratuity if applicable. This announcement constitutes the only solicitation: proposals are being requested and a written solicitation will not be issued. The solicitation number is SWSC-04-BH and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-27. The North American Industry Classification System (NAICS) number for this requirement is 721110, Hotels (except casino hotels) Motels and the small business size standard is $5M. The provisions at 52.212.1, Instructions to Offerors -- Commercial, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications -- Commercial Items with its offer.
