- Description
- The Corporation for National Service, a wholly owned Government Corporation, intends to award a contract to qualified vendor, who can provide lodging, conference space, audiovisual equipment and meals for AmeriCorps*VISTA Pre-Service Orientation and Supervisor?s Training. This event will take place within a twenty mile radius of the metropolitan Washington, DC area, November 6-10, 2001. Registration: Three large tables set up in the assigned registration area outside the main meeting room beginning at 2:00pm on November 6, 2001, and remaining until the conference conclusion. Sleeping rooms: The Corporation for National Service reserves the right to increase or decrease this number by 25%. Twenty-five (25) doubles and twenty-five (25) singles for November 6-8, 2001. Twenty (20) doubles and fifteen (15) singles for November 9, 2001. Meeting space: One (1) general session for seventy-five (75) participants set in rounds of six to eight from 9:00am to 12:00pm, November 7, 2001. Three (3) breakouts session for twenty-five (25) participants six set in rounds of five from 1:30pm to 5:30pm, November 7, 2001. One (1) general session for seventy-five (75) participants set in rounds of six to eight from 8:00am to12:00pm on November 8, 2001. Seven (7) breakout rooms set for five to fifteen (5-15) participants set in rounds of five from 10:00am to 3:00pm on November 8, 2001. Three (3) breakout rooms set for up to twenty-five (25) participants set in rounds of five from 3:00pm to 6:00pm on November 8, 2001. One general session for seventy-five (75) participants set in rounds of six to eight from 8:00am to 5:00pm on November 9, 2001. Three (3) breakout rooms set for up to twenty-five (25) participants set in rounds of five from 8:30am to 12:30pm on November 9, 2001. Meals: Full breakfast for seventy-five (75) participants from 6:45am to 8:30am, November 7-9, 2001. Full breakfast for fifty-five (55) participants on November 10, 2001. Lunch for seventy-five participants (75) from 12:00pm to 1:15pm, November 7-8, 2001. Lunch for seventy-five participants from 12:30pm-1:30pm on November 9, 2001. Dinner for seventy-five participants from, November 6-8, 2001 from 6:00pm-7:30pm. Dinner for fifty-five participants from 5:30pm to 7:00pm on November 9, 2001. Refreshments: To be served each morning and afternoon of the training (November 7-9, 2001). Morning breaks may consist of refreshing coffee or tea; afternoon breaks should include coffee, tea, cold drinks, and light snacks. Menus must be included in your proposal. Equipment: One (1) flipchart at registration table November 6-9, 2001. Two (2) flipcharts in general session on November 7-9, 2001. Three (3) flipcharts, one in each breakout room on November 7, 2001. One (1) overhead projector and one (1) screen in general session on November 7-9, 2001. Three (3) overhead projectors and three (3) screens, one in each breakout room on November 7, 2001. One (1) microphone in general session, November 7-9, 2001. Seven (7) flipcharts, one in each breakout on November 8, 2001. Seven (7) overhead projectors and seven (7)screens, one in each breakout room on November 8, 2001. Three (3) flipcharts, one in each breakout room on November 9, 2001. Three (3) overhead projectors and three (3) screens in, one in each breakout on November 9, 2001. One (1) TV/VCR in breakout room on November 8, 2001. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from area airports November 6th, 9th, and 10th, 2001. Miscellaneous: Only sleeping room rental, meeting room rental, meals and scheduled meeting costs for these guests are included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25% of the participants will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMWR0201 and is issued as a request for a quotation (RFQ). The North American Industry Classification System (NAICS) code for this requirement is 721110 and the small business size standard is $5.0 million. This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-27. The provisions at 52.212.1, Instructions to Offerors?Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications?Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions?Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders?Commercial Items applies to this acquisition.
