Description

The Corporation for National Service (CNS), North Central Cluster Training Division is planning a Streams of Service Conference for various Corporation programs. The number of attendees is estimated to be 167. CNS will award a contract to a qualified vendor in the Mandan, ND area who can provide lodging, catering, and meeting space for the conference. The preferred date is September 18-21, 2001. The specifics for the event are as follows: Registration Area: Day 1: A registration area with four 6-foot skirted tables and 8 chairs set up outside the general session room. The tables should be facing each other two on one side and two on the opposite side. Two wastebaskets are also needed. An area should be designated for luggage until sleeping rooms are available (if applicable). Meeting Rooms: everyday beginning 9/19-20 at 7:00 a.m.- 8:00 p.m.: General session for 167 people in rounds of 8 chairs per table. Note: All meeting rooms should be set in rounds and pencils or ink pens should be provided daily. Sleeping Rooms: up to 30 double/doubles, 80 singles at government rate or below. The majority of the guests will arrive on 9/18. Program Outline and Meals Required: 9/18: Registration 3:00 p.m. 9:30 p.m.,. Program begins at 12:00 noon 9/19. Food: 9/19-21 -- buffet Breakfast for 167 at 7:30 a.m.; 9/19-21 buffet lunch for 167 at noon; 9/19 & 20 buffet dinner for 167 at 6:00 p.m.; and a.m. coffee breaks 9/19-21 a.m. and p.m. breaks for 9/19-20. Program ends 9/21 at 2:00 p.m. Note: meeting times may change will notify in advance. A/V Equipment: The general session room should have a podium, a microphone, a table for materials beside the podium, a flipchart with markers and an overhead with screen. Additional audio needs will be determined as needed. Additional Information: FACILITY MUST BE HANDICAP ACCESSIBLE AND FEMA APPROVED. Bids must include the following information: 1. Per night sleeping room rate for single and double occupancy, not including tax. Include room tax separately. 2. A per person cost for all catering. We will only consider food costs which fall within federal per diem for your area. 3. Charges for meeting room space and audio-visual. 4. If not complimentary, transportation costs to facility.
