Description
The Corporation for National Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor, who can provide lodging, conference space, Audio-visual equipment and meals for AmeriCorps*VISTA Pre-Service Orientation and Supervisors Training. This event will take place within a 20 mile radius of the metropolitan Washington, DC area, July 18-20, 2001. Registration: Two large tables set up in the assigned registration area outside the main meeting room beginning at 10:00 am on July 18, 2001, and remaining until the conference conclusion. A message board should set up and left in the registration area throughout the conference. Sleeping Rooms: Twenty (20) doubles and five (5) singles for July 17, 2001. Ninety-seven (97) doubles and sixty (60) singles for July 18-20, 2001 (three nights). Eight (8) doubles for July 21, 2001. Meeting space: One (1) general session for two hundred and seventy five (275) participants from 1:30pm-5:30pm set in round tables and one (1) general session for sixty (60) participants from 4:00pm-6:00pm set in rounds for July 18, 2001. Seven (7) breakout rooms for twenty-five (25) participants each from 8:30am-9:30am for July 19, 2001. One (1) general session from 9:45am-10:30am for two hundred and seventy-five (275) participants for July 19, 2001. One (1) general session room set in rounds for (275) two hundred and seventy five from 12:00 1:00pm. Eight (8) break out rooms set in rounds from 10:45am-6:00pm, with two( 2) breakout rooms set for thirty (30) participants, and six (6) breakout rooms set for 35 participants, all set in rounds for July 19, 2001. Seven (7) breakouts for thirty participants from 8:00am-12:30pm for July 20, 2001, set in rounds. Seven (7) suites or break out rooms for ten (10) participants from 8:00am-12:30pm for July 20, 2001 set in rounds. One (1) general session for two hundred and seventy-five (275) participants from 1:30pm-5:00pm for July 20, 2001 set in rounds. Meals: Full breakfast for two hundred and seventy-five (275) participants from 6:45am-8:00am July 19-21, 2001. Lunch for two hundred and seventy-five (275) participants from 12:00pm-1:00pm July 18-20, 2001. Dinner for two hundred and seventy-five (275) participants from 5:30pm-7:00pm.(July 18-20, 2001 Refreshments: To be served each morning and afternoon of the training.(July 18-20, 2001) Morning breaks may consist of refreshing coffee and tea; afternoon breaks should include cold drinks, coffee, tea, and light snacks. Menus MUST be included in your proposal. Equipment: July 18, 2001, four (4) flip charts, one (1) TV/VCR, one (1) overhead projector, three (3) screens. July 19, 2001 nine (9) flip charts, eight (8) screens, one (1) microphone, eight (8) overhead projectors. July 20, 2001 (16) sixteen flipcharts, (14) fourteen overhead projectors, (14) fourteen screens, (1) one microphone, (1) one TV/VCR. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from area airports July 18th and July 21th 2001. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, meals and scheduled meeting costs for these guests is included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMW0111 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-25. The provisions at 52.212.1, Instructions to Offerors Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
