Description
The Corporation for National and Community Service, a wholly-owned Federal Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, meals, and meeting space for one AmeriCorps*VISTA Supervisor Training during the week of June 5-8, 2001 in Kansas City, Missouri. Facility must have general session room to accommodate up to 100 persons, round style, and up to four (4) breakout rooms which can accommodate 20 to 25 people. Water and glasses must be provided at all times in all meeting areas. LODGING: Events will require sleeping space for approximate 100 persons, single occupancy per night with access to individual beds. Of the group of 100; 12 persons will arrive and lodge June 4 8th; and the remaining group will arrive and lodge June 5-8th. Events will start at 8:30am on June 5th and end on June 8th at 2:30pm. MEALS: Meals for 12 needed June 4 through noon, June 5th; and meals for 100 starting with dinner June 5-8th. The specific meeting requirements for each event are as follows: DAY 1 (June 5th) A general session room set in round style for up to 15 people with table at front to accommodate speaker's needs, including podium, mid-morning and afternoon break, breakfast, lunch , and dinner for (15). DAY 2(June 6th)Morning:- A room set round style for up to 15 people in the morning with an overhead projector, screen, and flip charts; and 2 breakout rooms in round style for 10 persons each in the morning. Audio-visual will consist of an overhead projector, screens, and flip charts in each of the break out rooms. Morning beverage break and lunch for (15). Day 2 (June 6th) Afternoon: A registration space with four (4) six-foot skirted tables to accommodate the flow of registrants from 10:00am 3:00pm. A general session room set in rounds style in the afternoon for (100). Audio/Visual needs include a large projection screen (10ft), an audio/visual cart with overhead projector, an extension cord, wireless microphone, wireless lapel microphone and two flip charts. Mid-afternoon break and dinner for (100). DAY 3 (June 7th)- Full breakfast, lunch and dinner, and a mid-morning and afternoon break for (100). A general session room set round style for up to 100 persons with audio/visual needs the same as Day 2 afternoon; and 4 breakout rooms set in round style for up to 25 people each. A/V needs for the breakouts will consist of an overhead projector, screens, and flip charts in each of the break out rooms. DAY 4 (June 8th) A general session room set in rounds style for (100) with A/V needs the same as Day 3; and 4 breakout rooms set in round style for up to 25 people each with A/V needs the same as the breakouts in Day 3. Hot breakfast and boxed lunch for (100). Mid-morning break in each break-out area. All activities will conclude by 2:30 p.m. To be considered, bids need to include the following information: (1) Per night sleeping room rate for single occupancy; (2) Per person meal charges for Days 1-4. The selected vendor must be prepared to provide vegetarian and kosher meals. Approximately 25% of all meals will be vegetarian; (3) If bid is made on a per person cost inclusive of all costs, a single night cost must be provided for guests staying for less than full event and food costs for participants not staying at hotel; additionally, please note how many room nights are required to receive any complimentary sleeping rooms; (4) Charges for meeting space if any, and individual items of audio-visual equipment; (5) Parking for participants and at what cost; (6) A description of the shuttle service available to and from the airport and any costs associated with shuttle transportation; (7) reduced costs for staff requiring lodging on-site, based upon number of overnight quests; (8) Vendor must provide on-site representation during all dates of the event for coordination, problem solving and decision making. Federal regulations require that any hotel/conference space contracted shall meet and comply with American Disabilities Act (ADA) requirements, and FEMA certified for fire safety. Food, lodging and audio quotes need to include any gratuity and service charges.
