- THIS IS A MARKET SURVEY FOR WRITTEN INFORMATION ONLY FROM ALL HOTEL/CONFERENCE FACILITY SERVICE PROVIDERS IN THE FOLLOWING AREAS: Williamsburg, Virginia; Phoenix, Arizona; and Las Vegas, Nevada. THIS IS NOT A SOLICITATION ANNOUNCEMENT FOR PROPOSALS AND NO CONTRACT WILL BE AWARDED FROM THIS ANNOUNCEMENT. NO REIMBURSEMENT WILL BE MADE FOR ANY COSTS ASSOCIATED WITH PROVIDING INFORMATION IN RESPONSE TO THIS ANNOUNCEMENT AND ANY FOLLOW-UP INFORMATION REQUESTS. NO TELEPHONE CALLS REQUESTING A SOLICITATION WILL BE ACCEPTED OR ACKNOWLEDGED. THERE IS NO SOLICITATION AVAILABLE AT THIS TIME. RESPONSES SHALL NOT EXCEED 40 PAGES AND STANDARD COMPANY BROCHURES ARE NOT DESIRED. INFORMATION SHALL FOCUS ON THE CAPABILITY TO PROVIDE HOTEL/CONFERENCE FACILITIES AND SERVICES DEFINED BELOW. The U. S. Environmental Protection Agency (EPA) is performing a market search for training conference services and facilities for the Office of the Inspector General (OIG) of the EPA. The OIG of the EPA has a potential requirement for training conference services and facilities to support a training event in December of 2001 entitled "Our Journey to Higher Performance: An OIG Progress Report." Any resulting contract shall provide a cost-efficient location to conduct a training conference sponsored by the OIG beginning Monday, December 3 and ending Friday, December 7, 2001. The requirements for the facilities shall include rooms to accommodate 400 OIG participants, audio-visual equipment, one large conference room to accommodate 400 participants, six breakout rooms and refreshments. Additionally , the contract shall require that tax exempt forms be accepted or provided. For additional details, please visit the EPA Website at: http://www.epa.gov/oam/hpod/#Sources Sought. Vendors with the capability of providing these services are invited to submit, in writing, sufficient information within the page limitation (40 pages) which demonstrates their ability to fulfill this requirement. Responses must respond to the following mandatory requirements: (1) Accommodate lodging for all participants at or below government Per Diem rates; (2) Four handicapped-accessed rooms and one hearing-impaired room; (3) Accommodate conference facilities on contractor premises; (4) Provide all audio-visual needs as stated in the Statement of Work; (5) Provide lunch on contractor premises for all participants;(6) Restaurant on contractor premises; (7) Accept and store boxes of conference material sent via U.S. Postal Service beginning November 30, 2001; (8) Provide storage area for conference materials November 30, 2001 through December 7, 2001; (9) Business Center on contractor premises; (10) Accept tax-exempt forms; and (11) Area for registration of conference participants. The following represent desired but not mandatory requirements: (1) Contractor assigns one staff member as a point-of-contact to interact and handle/resolve any issues that arise during the conference; (2) Free parking; (3) Free shuttle bus service to and from airport.
