Description
The Internal Revenue Service intends to issue a purchase order on a sole source basis to the Hyatt Regency Atlanta, 265 Peachtree Street, NE, Atlanta, GA for meeting space and hotel accommodations. The contractor will provide 350 sleeping rooms (reserved and guaranteed at the prevailing government rate; individually paid by IRS employees/guests) and conference facilities to include general meeting, breakout rooms and light refreshments as specified below for the Internal Revenue Service EEO Diversity Conference, July 16 _ July 20, 2001. Meeting space requirements include: CLIN 001: July 17-20, one (1) general meeting room to accommodate up to 350 participants (classroom style); CLIN 002: July 17-20, five (5) breakout rooms to accommodate up to 70 participants (classroom style); CLIN 003: July 16-20, one (1) meeting room suitable for an office to accommodate up to 16 participants; CLIN 004: July 16-20, one (1) storage room; CLIN 005: July 16-20, one (1) media room to accommodate up to 20 participants (theater style with tv/vcr); CLIN 006: July 17-20, one (1) room to accommodate up to 5 speakers and CLIN 007: July 17-20, light refreshments for one (1) morning and one (1) afternoon break for up to 350 participants. The meeting rooms must be available for use twenty-four (24) hours per day. The hotel must be within two-block radius of a subway station or must provide shuttle service to/from subway station. Other considerations: proximity to a major airport, adequate and reasonable food service must be available on-site and/or within walking distance. MANDATORY REQUIREMENT: To be eligible for contract award, the hotel must be compliant with Hotel/Motel Fire Safety Act of 1990, 15 U.S.C. 2201 et. seq (Public Law 101-391) and must hold a FEMA Certification Number (See FEMA http://www.usfa.fema/gov/hotel); (2) Hotel must be compliant with the Americans with Disability Act, 42 U.S.C. Section 12101 et.se. (ADA). In order to be considered for award, hotels must be able to provide at a minimum all meeting space at one location, and additional lodging within a 1-mile radius of the host hotel. All responsible sources who can provide the above requirements shall submit written quotations no later than 15 days from the posted date of this announcement. No solicitation will be issued, therefore, such request for solicitations will be considered non-responsive. Award will be based on price and other factors. All quotes shall include price(s); FOB point; a POC (name and telephone number); GSA contract number if applicable; delivery date; business size and payment terms. Quotes over 10 pages in total will not be accepted by facsimile. All questions must be submitted in writing and received by facsimile on (202) 283-1512 or mail. If no responses are received, the award will be made to Hyatt Regency Atlanta.
