- Description
- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This notice constitutes the only solicitation; quotes are being requested and a written solicitation will not be issued. This procurement is being conducted under the Simplified Acquisition Procedures. The Department of Justice, Executive Office of Immigration Review, Office of the Chief Immigration Judge, has a requirement for a hotel/conference center to provide private sleeping accommodations, eating facilities, meeting space and support services for its Annual Immigration Judges' Conference to be held on June 24 through 28, 200l in New York City. The estimated number of participants is 300. A block of sleeping rooms (300) shall be reserved. Lodging shall be at the Government rate of $198, which is the year 2001 rate. Each guest will be personally responsible for payment for his/her lodging. Once a credit card number is issued to the hotel by or on behalf of a named individual, that room shall be removed from the blocked room listing and liability for any room cancellation penalty transfers to the individual. The Government shall hold plenary sessions throughout the week, thus, the Contractor shall provide a general session conference room, set up classroom style, to accommodate 300 attendees for each day. In addition, rooms for six workshops, set up classroom style, to accommodate 45-50 attendees per workshop, shall be provided for each day. All six workshops shall run concurrently. On the first day, June 24, a registration area with (2) six foot tables and 11 chairs shall be set up outside the general session room. The Contractor shall also provide space for a reception to be held on June 24, from 6:00pm-8:00PM for all attendees and finger food and beverages (no alcoholic beverages) shall be served. Each session shall begin at 8:00AM each day, with a 15-minute break in the morning and mid-afternoon, plus a lunch break each day. Continental breakfast shall be served each morning outside the general session conference room; beverages consisting of coffee, tea, and water shall be served during each morning break; sodas and cookies shall be served during each afternoon break. Lunch (sit-down luncheon) shall be served on Wednesday, June 27. All equipment needed by speakers or workshop presenters shall be provided and will include, but not limited to: screens, projectors, overhead projectors flip charts, VHS, data monitors, projection carts, microphones, and mixers. This solicitation and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-19. Offerors must comply with all instructions contained in FAR 52.212-1, Instructions to Offerors-Commercial Items and must submit a completed copy of FAR 52-212-3, Offeror Representations and Certifications-Commercial Items with their quotes. In addition, FAR 52.212-4, Contract Terms and Conditions-Commercial Items; 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders Commercial Items apply. Award will be made to the responsible offeror whose quote represents the best value to the Government.
