Description
Corporation for National Service,Pacific Service Center is a Federal Agency located in California providing funding for volunteer programs. CNS will award a contract to a qualified vendor(s)who can provide meeting space, lodging accommodations, audio visual needs, food and refreshments for AmeriCorps*VISTA training events.CNS is planning Pre-Service and Supervisor training events for the following dates: January 15-18 or January 22-25,2001;April16-19 or April 23 26, 2001;July 9-12 or July 16-19,2001;August 13-16 or August 20-23, 2001; and November 5-8 or November 12-15,2001.The Pre-Service Orientation will occur Monday through Wednesday of each of the training dates listed above. The Supervisor training event will be held Tuesday through Thursday of each of the training dates listed above.In addition to the Pre-Service Training and Supervisor training, CNS is also planning an Early Service Training for November, 2001.The Early Service Training will be held Wednesday through Friday, November 14-16.These events will require separate training rooms and will share only meals.The meeting room and A/V equipment needs are listed below for each of the events: The training will be held in one of the following cities. Salt Lake City, Las Vegas, Reno, Seattle, Portland, Los Angeles, San Francisco, San Diego and Oakland.(1) AmeriCorps*VISTA Pre-Service Training: Day 1-Monday A registration area with (2) six foot tables and 11 chairs for the afternoon.A general session room set up in rounds for 270 people for afternoon sessions.Two six-foot tables are needed at the back of the general meeting room for resource materials. Audio-visual needs include a large projection screen, a two-shelf audio-visual cart, a podium, two microphones, overhead projector, and two easels.Up to (7) break-out rooms are needed in the afternoon set-up with round tables and chairs for 35 people. An easel is needed in each of the break-out rooms. Participants will be eating dinner.Day 2-Tuesday General session room set up in round tables for about 270 people.Two six-foot tables are needed at the back of the general meeting room for resource materials. Audio-visual needs will be the same as Day 1.Up to (7) break out rooms set-up with round tables and chairs for 35 people.An easel will be required for each break out rooms.Participants will need Breakfast, Lunch, and Dinner. Day 3 Wednesday A general session meeting room set up in a theatre style for up to 270 people with two six-foot tables in the back of the room. Audio-visual needs are the same as Day 1.Up to (7) break out rooms set-up in round tables and chairs for 35 people.Easels are needed in each breakout room.Participants will need Breakfast and Lunch. 2)AmeriCorps*VISTA Supervisor Training: Day 1-Tuesday A registration area with(2)six foot tables and (7)chairs for the afternoon. A general session room set up in rounds for 60 people for afternoon sessions. Audio-visual needs include a large projection screen, a two-shelf audio-visual cart, a podium, a microphone, overhead projector, and two easels. Day 2 -A general session room set up in round tables for about 60 people.Two six-foot tables are needed at the back of the general meeting room for resource materials.Audio-visual needs will be the same as Day 1.Up to (3) break-out rooms set-up with round tables and chairs for 30 people.An easel will be required for each break-out room.Day 3 A general session meeting room set up in rounds for about 60 people with two six-foot tables in the back of the room. Audio-visual needs are the same as Day 1.Up to (3) break out rooms set-up in round tables and chairs for 30 people.Easels are needed in each breakout room. Training concludes at approximately 2:00 PM. (1) AmeriCorps*VISTA Early Service Training. November, 2001 only. Day 1-Wednesday A registration area with (2) six foot tables and 11 chairs for the afternoon. A general session room set up in rounds for 260 people for afternoon sessions. Two six-foot tables are needed at the back of the general meeting room for resource materials. Audio-visual needs include a large projection screen, a two-shelf audio-visual cart, a podium, two microphones, overhead projector, and two easels.Up to (7) break-out rooms are needed in the afternoon set-up with round tables and chairs for 35 people. Wednesday- Breakfast, 330; Lunch 330; Dinner, 100; Thursday- Breakfast 80; Lunch 60. Lodging needs for January, April, July, and August training events. Sunday: 20 double occupancy rooms, 10 single occupancy rooms. Monday: 130 double occupancy rooms, 15 single occupancy rooms.Tuesday: 160 double occupancy rooms, 20 single occupancy rooms.Wednesday: 47 double occupancy rooms, 10 single occupancy rooms. Thursday: 5 double occupancy rooms, 2 single occupancy rooms. Number of meals for November training events. Monday-Dinner, 270.Tuesday-Breakfast, 270; Lunch, 330; Dinner, 330; Wednesday-Breakfast, 590; Lunch 590; Dinner 360. Thursday- Breakfast, 340; Lunch 320, Dinner, 260. Friday-Breakfast, 260; Lunch, 260. Lodging needs for November training events. Sunday: 20 double occupancy rooms, 10 single occupancy rooms. Monday: 130 double occupancy rooms, 15 single occupancy rooms. Tuesday: 175 double occupancy rooms, 20 single occupancy rooms. Wednesday: 172 double occupancy rooms, 20 single occupancy rooms.Thursday: 130 double occupancy rooms, 12 single occupancy rooms.Friday: 5 double occupancy rooms. All lodging rooms are non-smoking. Meals can be plated or buffet style but must include vegetarian and meat options. Please indicate if you can offer special need meals for participants with allergies, special diets, etc. A staff office for 20 people is required. Facility must be within 50 miles of nearest airport facility.The facility must comply with the FEMA (Federal Emergency Management Agency) Fire Prevention and Control guidelines. Meals and lodging must be within the government per diem rate including all service charges. Daily federal per diem rates are as follows: Salt Lake City; lodging $75/meals $42. Las Vegas, lodging $72/meals $38; Reno, lodging $55/meals $30; Seattle, lodging $109/meals $46; Portland, lodging $77/meals $38. Los Angeles lodging $99/meals $46 ; San Francisco lodging $159/meals $46, San Diego, lodging $99/meals $46; and Oakland lodging $118/meals $38. Meal room must be in a separate room from the training space. Preference will be given to facilities that can host more then one event during the course of the year.Federal regulations require that any hotel/conference space contracted shall meet and comply with the American Disabilities Act (ADA) requirements. Please indicate how many rooms you have of the following: (1) Grab bars near the toilet and in the shower, (2) wide entrance doors, (3) Shower stool or seat, accessible sink (low enough for individuals in wheelchairs), (4) Roll-in shower, (5) Extra bed or pull out couch for use by personal attendant.Corporation for National Service will provide a Purchase Order and will pay for only actual costs (eg.
