Description

The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space, and meals for AmeriCorps*VISTA Pre-Service Orientation and Supervisor's Training. This event will take place in the greater Washington, DC area, on November 16-19, 2000. Facility must be located within a (25) twenty-five mile radius of Washington, DC. The requirements are as follows: Registration: Two (2) large covered tables set up in the assigned registration area or outside the main meeting room beginning at 11:00am November 16th and remaining until the conference conclusion. A message board should be set up and left in the registration area throughout the conference. Sleeping rooms: Ten (10) doubles on November 15th. Thirty-five (35) doubles November 16-18 (three nights). Thirty (30) singles November 16-18 (three nights). Meeting space: November 16: (2:00pm-6:00pm) One (1) room with round tables of eight for one hundred (100) attendees. November 17: (8:00am-6:00pm) three (3) rooms each holding thirty-five (35) attendees with round tables of eight. November 18: (9:00am-4:00pm) six (6) rooms each for twenty (20) attendees with round tables of six. (4:00pm-6:00pm) One (1) room with round tables of eight for one hundred (100) attendees. Meals: Lunch for one hundred (100) attendees from 12:00pm-1:00pm on November 16-18, 2000. Dinner for one hundred (100) attendees from 6:00pm-7:30pm on November 16-18, 2000. Full breakfast for one hundred (100) attendees from 6:45am-7:30am on November 17-19, 2000. Refreshments: To be served each morning and afternoon of the conference. Morning breaks may consist of refreshing coffee and tea at breakfast and light snacks; afternoon breaks should include cold drinks and light snacks. Menus must be included in your proposal. Equipment: In meeting area, one (1) overhead projector and screen for meeting rooms. One (1) projector screen and one (1) TV/VCR in main meeting room on November 16, 2000. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from all area airports (Reagan National, Dulles, and Baltimore-Washington) on November 16th and 19th, 2000. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rentals, meeting room rentals, and scheduled meal costs for these guests are included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Corporation for National Service employees will advise attendees of this responsibility. Please identify any and all of the above services that will be made available at no cost. For example: for a conference of 100 attendees, will the charge for meeting rooms, etc. be waived? Also, what number of paid guest rooms qualify for additional guest rooms at no cost? What, if any, are transportation cost from the airport? Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement no later than COB, November 3, 2000.
