(214) 880-7069 in Dallas, TX The Corporation for National and Community
Service, a wholly-owned Federal Government Corporation, intends to
award a contract to a qualified vendor who can provide lodging,
catering, and meeting space for two (2)AmeriCorps*VISTA Pre-Service
Orientations and one (1)Early Service Training (EST) for a total of
three (3)events. Each event is anticipated to have up to 150
particpants each for a total of up to 450 participants. The events will
occur on October 27-29, 1999, January 19-21,2000, and August
30-September 1, 2000; with training beginning on the afternoon of Day
1 and concluding by noon on Day 3; (1/2 day, full day, 1/2 day formula
for each event). Facility must have general session room to
accommodate up to 150 persons classroom style and up to two (2)
breakout rooms which can accommodate 30-50 people each. Water and
glasses must be provided at all times in all meeting areas. Events will
require sleeping space for up to 75 double occupancy rooms with access
to individual beds or equivalent. Lodging rates cannot exceed Federal
lodging per diem rates. A lodging or rooming list will be provided to
the hotel prior to each event and will indicate the number of double
and or single rooms needed for the event. The specific meeting
requirements are as follows: DAY 1 -- A registration space with two (2)
six-foot skirted tables to accommodate a flow of registrants from 8:00a
until 12:30p. A general plenary session room set classroom style for up
to 150 people with table at front to accommodate speaker's needs,
including podium, (70x70) projection screen, extension cord, overhead
projector & table,2 flip charts, and a lavalier microphone.
Additionally two rooms to accommodate up to 50 persons classroom style.
Each breakout room to have the folowing; Audio-visual needs include an
overhead projector, projection screen (70 x 70),an extension cord, 2
flip charts/easels. and a lavalier microphone. Afternoon beverage break
in each room. Dinner served in the evening buffet style. DAY 2 -- Hot
breakfast, lunch, and dinner, all served buffet style. Meeting space:
Plenary session room same space and AV as day 1; additional two
break-out rooms to accommodate up to 50 persons each with overhead
screen, projector and flip charts. Morning and afternoon beverage
breaks, same as day 1. DAY 3 -- Meeting room space to accommodate 150
persons for plenary session 8:00-11:30am. Hot breakfast, morning break
and brown bag lunch by 11:00 a.m. Audio/visual needs will be the same
as day 1 plenary plus TV/VCR/Monitor. All activities will conclude by
12:00 p.m. To be considered, bids must include the following
information: (1) Per night sleeping room rate for single and double or
triple occupancy; (2) Per person meal charges for the following:
dinner with an afternoon beverage break on Day 1;
breakfast/lunch/dinner with morning and afternoon beverage breaks on
Day 2 and breakfast/brown bad lunch with a mid-morning beverage break
on Day 3. The selected vendor must be prepared to provide vegetarian
and kosher meals. Approximately 25% of all meals will be vegetarian;
(3) If bid is made on a per person cost inclusive of all costs, a
single night cost must be provided for guests staying for less than
full event; and food costs for participants not staying at hotel; (4)
Charges for meeting space(prefer complimentary meeting room space based
on total lodging nights and total meal expenses); and individual items
of audio-visual equipment; (5) Parking for participants and at what
cost; (6) A description of the shuttle service available to and from
the airport and any costs associated with shuttle transportation(would
prefer hotel to incur transportation costs and include within bid);
(7) reduced costs for staff requiring lodging on-site, based upon
number of overnight guests; (8) Vendor must provide on-site
representation during all dates of the event for coordination, problem
solving and decision making. Federal regulations require that any
hotel/conference space contracted shall meet and comply with American
disabilities Act (ADA) requirements. Price quotes due at the above
