The Corporation for National and Community Service, a wholly-owned
Government Corporation, intends to award a contract to a qualified
vendor who can provide lodging, catering, and meeting space for one
AmeriCorps*VISTA Pre-Service Orientations (PSO) and Early Service
Trainings (EST). AmeriCorps*VISTA is a federal program which places
members in low-income communities to mobilize community resources and
increase the capacity of those communities to solve their own problems.
The pre-service orientation is for members who will be beginning a year
of community service. The early service training is for volunteers who
are currently serving as Americorps*VISTA members. The PSO will occur
November 15-17, 1999. The EST will occur November 16-18, 1999. During
each week of training, the two events will overlap on the second day
of PSO and the first day of EST. The first group will check in on
Monday and check out on Wednesday. The second group will check in on
Tuesday and check out on Thursday. We will need 50 to 100 sleeping
rooms for four nights of each week. The sleeping rooms should
accommodate double occupancy. The facility must be accessible to
physically challenged individuals. The facility selected should have
the capacity to accommodate at least 300 people for a group meal. We
will host a combined PSO/EST dinner, breakfast and lunch on days that
overlap. The chosen vendor must be prepared to provide vegetarian and
kosher meals. Approximately 25% of all meals will be vegetarian. The
catering needs will break down as lunch/dinner with an afternoon break
on Day 1, breakfast/lunch/dinner with morning and afternoon breaks on
Day 2, and breakfast/lunch with a mid-morning break on Day 3 for each
event. Based on these catering needs, proposals should include a per
person costs for meals. Additionally, the facility should be able to
hold up to 150 people classroom style for general session meetings and
have at least 4 breakout rooms that can hold up to 50 people. General
session rooms should be set with #2 lead pencils. The site selected
MUST provide transportation for participants from the nearest Amtrak
train station and airport and return. All proposals received must
include an explanation of the shuttle transportation available and
indicate additional cost, if any, for the shuttle. Proposals should
also indicate the cost for parking. The specific meeting requirements
for each meeting are as follows: DAY 1. A registration room with four
(4) six foot skirted tables. We will need lunch available to
accommodate a flow of registrants from 11:30 a.m. until 2:00 p.m. A
general session room set up classroom style for up to 150 people.
Audio-visual needs include a large projection screen, a two-shelf
audio-visual cart, a podium, a microphone, a VCR and a flipchart.
Dinner served in the evening. Afternoon break. DAY 2. The EST group
will be checking in on this day. A registration table should be set
outside the general session room. A general session room set classroom
style for up to 150 people in the morning. Audio-visual needs will be
same as Day 1. During the afternoon, we will need up to five (5)
breakout rooms -- four (4) which can accommodate up to 50 people and
one (1) which can accommodate up to 25 people. We will also need the
general session room. The breakout rooms should be available until 8:00
p.m. We will need a flip chart in each breakout room. Hot breakfast and
lunch for up to 150. We would like to have a separate lunch area with
boxed lunches for the group that is arriving. Dinner for up to 300
people. Morning and afternoon breaks. DAY 3. Hot breakfast for up to
300 people. During the morning, we will need up to four (4) breakout
rooms which can accommodate up to 50 people. A flip chart should be
available in each breakout room. The PSO group will be checking out. We
will have a combined lunch for up to 300 people with a podium and
microphone needed in the dining room. An area should be designated for
luggage until sleeping rooms are available as well as for luggage
storage for people departing. During the afternoon we will need four
(4) breakout rooms which can accommodate up to 50 people. A flip chart
should be available in each breakout room. Other audio-visual needs
may include overhead projectors and screens and a tv/vcr. The breakout
rooms should be available until 8:00 p.m. Morning and afternoon
breaks. DAY 4. Breakfast and lunch for 150 people. We will need four
(4) breakout rooms that can accommodate up to 50 people. Audio/visual
needs will be the same as the previous day. Morning and afternoon
breaks. All activities should conclude by 4:00 p.m. We will need
luggage storage space for people who will be departing. Bid proposals
must include the following information to be considered: (1) per night
sleeping room rate for single and double occupancy (2) A PER PERSON
cost for all the catering. Due to our status as a federal corporation
we will only consider food costs which fall within the federal per diem
rate for your area. (3) charges for meeting space and audio-visual (4)
a description of the shuttle service available and any costs
associated with shuttle transportation as well as parking. Proposals
