R -- TTRANSLATION SERVICES IN MIAMI, FL FOR A MEETING OF ENVIRONMENTAL MINISTERS AND OTHER GOVERNMENT OFFICIALS FROM THE "G-7" NATIONS FOR THE PERIOD OF MAY 4-6, 1997. The Environmental Protection Agency intends to award a contract using Simplified Acquisition Procedures of FAR Part 13 to a qualified vendor who can provide translation services in Miami, FL for a meeting of environmental ministers and other Government Officials from the "G-7" nations for the period of May 4-6, 1997. Task 1: The contractor shall provide English/French, English/German, English/Italian, English/Japanese and English/Russian simultaneous interpreting services, including all necessary equipment. The contractor is expected to provide at least two shifts of teams for each language for Days two and three. Translators will be expected to work continuously, including through meals, as follows (meals will not be provided): * Sunday, May 4, 1997, 5:00 p.m. -- 8:00 p.m., reception; * Monday, May 5, 1997, 8:00 a.m. -- 10:00 p.m., including three meals, two ministerial sessions, and site visit; and * Tuesday, May 6, 1997, 8:00 a.m. -- 6:00 p.m., two meals, one ministerial session, and press conference. Note: Transportation to and from site visits is provided. No equipment is required for Task 1. Task 2: The contractor must provide the following at the conference hotel May 5-6: * 50 infrared, multichannel wireless receivers for the conference participants; * a team of two simultaneous interpreters per language combination for conference proceedings and related events; * 5 double fully-equipped interpreting booths and necessary electronic peripherals; * One on-site technician for the entire duration of conference proceedings; * 12 hard-wired table microphones and necessary sound mix equipment. (A second system will be required for the press conference on Day 3. See Task 3 below.) Task 3: A press conference is scheduled on Day 3 immediately following the ministerial session. A second simultaneous interpretation system will be required at the location of the press conference at the conference hotel. The press conference will have the same interpretation equipment and personnel requirements plus an additional 50 infrared wireless receivers and six wireless microphones for members of the press. Task 4: The contractor will be required to provide document translation service in the aforementioned languages. A maximum of a three hour turn-around is required for document translations. Quotes are due in writing no later than 15 days of notice of solicitation. Quotes should address the following: (1) hourly rate for each of the specified languages, (2) price for the equipment needed in Task 2, (3) price for the equipment needed in Task 3; and (4) price per page for Task 4. Qualified firms must submit information regarding experience with similar events. In addition, each interpreter must have skills comparable to a State Department conference-level simultaneous interpreter. For each candidate, a resume/curriculum vitae demonstrating the candidate's capabilities and other pertinent information must be submitted.
