Description
*This is a Sources Sought to determine the appropriate socio-economic factor for solicitation. This is not the official solicitation.* The Western NC Veterans Health Care System, Charles George VA Medical Center, located in Asheville, NC, is seeking potential sources to provide Hospital Door Replacement, Repair, and Preventive Maintenance services under an Indefinite Delivery/Indefinite Quantity (IDIQ) contract. SCOPE The contractor shall perform routine and emergency repairs, preventive maintenance, and complete door replacements as required. Work includes, but not limited to: Inspection, troubleshooting, and repair of mechanical, electronic, and automatic doors. Replacement of damaged or non-functional doors, frames, and associated hardware. Preventive maintenance, including lubrication, adjustment, and component replacements. Compliance with all relevant building codes, safety regulations, and hospital infection control policies. Proper disposal of removed materials per environmental and regulator standards. CONTRACT TYPE & PERIOD OF PERFORMANCE This is a Firm-Fixed type contract. This IDIQ contract with task orders issued as needed. The Period of Performance will be 5 years with Not to exceed $100,000.00 first year and $75,000.00 a year for each additional year. TASK ORDERS Individual task orders will be issued for specific projects and may include emergency repairs, scheduled maintenance, or full door replacements. Each task order will detail the required work, location, performance time, and any special requirements. CONTRACTOR RESPONSIBILITIES The contractor shall: Respond to service requests within the agreed timeframe. Provide qualified personnel with experience in hospital door systems. Ensure all work complies with NFPA, OSHA, and local building codes. Maintain detailed service records and provide reports as required. Minimize disruptions to hospital operations and adhere to infection control protocols. DESCRIPTION OF THE ITEMS TO REPAIR OR REPLACE Hollow metal frames (including fire rated) Hollow metal doors (including fire rated) Wood doors (including fire rated) Architectural doors hardware locks, closers, fire exit hardware, panic devices, hinges, etc. Automatic sliding doors Activation and safety switches and sensors for automatic doors and electrified locking systems. Commercial locksmith services with NC state licensed commercial locksmiths Automatic door inspections We have certified AAADM (American Association of Automatic Door Manufacturers) inspectors on staff Fire Door Assembly Inspections (FDAI) Federally recognized certified fire door assembly inspectors on staff with certification from DHI and DOIT. Provide detailed inspection reports. SECURITY & ACCESS REQUIREMENTS Access to sensitive areas must be coordinated with hospital staff. Compliance with HIPPA and other confidentiality requirements is mandatory. QUALITY CONTROL & SAFETY The contractor should establish a quality control plan ensuring work meets hospital standards. Work must be performed safely, using appropriate PPE, and following all safety guidelines. The hospital reserves the right to inspect work at any time. The NAICS code for this procurement is 811310 Commercial and Industrial Machinery and Equipment (except Automotive and Electronic) Repair and Maintenance, and the Size Standard is $12.5 Million. Responses to this Sources Sought notice should include the following: name and address of company, business size (large or small): Please identify your company s socioeconomic categories-8(a), HUBZone, Services Disabled Veteran-Owned/Veteran-Owned Small Business, Other Small, Small, or Large. If you are an SDVOSB, VOSB or Small Business and plan on subcontracting, you must provide a plan to show how your company will provide 51% of the work being performed as the Primary Contractor. Also, provide a brief description of qualifications, licensure, certifications, and any other pertinent information which demonstrates the ability to meet the above requirement.
