This Sources Sought notice is for informational and planning purposes only. It does not constitute a Solicitation and is not to be considered as a commitment by the Government. All firms responding to this source sought notice are advised that their response to this notice is not a request that will be considered for contract award. The information from this market research is for planning purposes only and will assist the Government in planning its acquisition strategy. This is strictly market research, and the Government will not entertain questions concerning this market research. The intent of this notice is to determine the availability of qualified commercial sources technically capable of providing the below: This is market research only. Event #1: Unit Deployment Reintegration Event (�Yellow Ribbon Program�) Requirements Summary: Sufficient facility space/meeting rooms, in-house meal services and support equipment/staff to host an approximate five-hour military unit reintegration event in the Hartford/Greater Hartford area for approximately 1700 Soldiers, family members and support staff. Facility must be able to provide within one contiguous, indoor facility sufficient space to seat/brief 1700 guests in a single general session room using banquet round tables with supplemental space for feeding stations, a stage and audio-visual equipment; two adjoining breakout meeting rooms to support up to 30 children; administrative work space to support 20 event staff; and additional open, pre-function space to support approximately 45 exhibitor and registration tables. On-location parking must be available for approximately 800 vehicles with event validation costs included in vendor�s submission. Support equipment and services must include, at minimum, event planning staff; a variety of breakfast and lunch meal and break services/menus, including a children�s menu; audio-visual equipment and staff services; all necessary support equipment including staging, tables, chairs, linens, food service equipment, electric outlet access/support, etc. Event #2: Welcome Home Ceremony (�Freedom Salute�) Requirements Summary: Estimated 50,000-70,000 square feet of open, climate-controlled space to conduct an approximate two-hour military unit formation and recognition ceremony involving 700 Soldiers and approximately 1000 guests and staff; and a close/adjacent VIP holding room or area that can accommodate approximately 20 standing guests. Facility must be able to provide staging with seating for 20; full audio/sound services including on-site event audio staff; and ceremony seating and/or standing viewing options for up to 1000 guests. Additional support equipment and services must include, at minimum, a speaker�s podium, available pipe and drape to help define the ceremony space, stage dressing and access stairs (2 sets), and availability of 125 additional folding chairs for VIPs and a supporting band. On-location parking must be available for an additional approximately 200 vehicles vehicles (this is above parking requirement for Event 1) with event validation costs included in vendor�s submission. Potential offerors having the skills, experience, professional qualifications, and capabilities necessary to perform the described requirement are invited to provide a capabilities statement via e-mail. The Capability statements shall not exceed ten (10) pages and must include the following: 1) Company name and Point of Contact information (address, telephone, e-mail, web-site, etc.); 2) DUNS number and CAGE code; 3) Small Business Size/Certification (to include 8(a), HUBZone, SDVOSB, etc.); and 4) Familiarity and knowledge of the requirement. Responses are due no later than 11:59 pm EST, Monday April 7, 2025, and shall be electronically submitted to leslie.a.fedler.civ@army.mil. All responses will be used to determine the appropriate acquisition strategy for a potential future acquisition. Response is strictly voluntary; no reimbursement will be made for any costs associated with providing information in response to this synopsis or any follow-up information requests.
