Description
The Contractor shall provide all personnel, equipment, materials, meeting areas and other items and non-personal services necessary to host the Army Special Event as defined in this Performance Work Statement. The contractor shall perform to the standards outlined in this document and resulting contract award. Each year the White House honors Medal of Honor recipient(s). Subsequently, the Secretary of the Army and Chief of Staff of the Army will host a high-level event. The honoree and/or family members, and key Army personnel escorting the family will travel to Washington, D.C. to be honored and participate in a series of events. The Army will host a reception for approximately 200 family, friends, fellow Soldiers, and guests of the Army for a week and will provide transportation from the hotel to secure ceremonial events during that week. The responsibility for planning and executing the Army Special Events is the responsibility of the OAA to the Secretary of the Army. The objective of this requirement is for the Contractor to provide a high-quality venue for an evening reception befitting this prestigious event, a private location for secure professional and social interaction, areas for security screening and bus staging, media training and engagement space, briefing and portrait area, a welcome reception, and a block of rooms for the honoree and guests. These services are required from October 2024 until at least October 2029, however, the likelihood of needing these services beyond 2029 is high. The services will be performed 100% at the HEI South ORME Street LLC., in Arlington, VA. The customer requires that the hotel utilized be located within not more than five minutes, or less than 2 miles from the Pentagon, due to the sensitive health status of many of the Medal of Honor recipients. The hotel to be utilized must have a vehicle staging area located on or adjacent to its property. This staging area will be utilized to hold up to four (4) 55-passenger busses along with a motor cade. Many other government agencies buy these services, but none meet the stringent requirements of the vehicle staging area.
