Questions & Answers ----- For 3-Custom Raised Flower Beds with Supplies Does the Flower Beds need to be filled with dirt/loam? No, the veteran is responsible for that. How many automatic timers are requested for the irrigation system? Each of the 3 beds will have their own timers per the SOW. What is the distance from the exterior water spigot to the planter boxes? Approximately 20-40 feet from the water spigot. Will all 3 planter boxes be in a close proximity to each other? Yes, vertical, and horizontal planters boxes from the veteran s house. What is the total square footage of the area to be landscaped / what are the dimensions? 3 raised beds, that are 20 long X 4 wide = each bed 80 square feet, all 3 beds a total of 240 square feet, and each bed to be 3 high. Could you provide information on the types of plants that are preferred for this project? Vegetables primarily Will there be an irrigation system installed prior to work? No, the installation of an irrigation system is part of this project. Do you offer a warranty for any plants that are 5 gallons or larger, specifically for one year on a proper watering schedule? No warranty is necessary. Will you be looking to add a maintenance schedule after the installation, or will involvement be limited to the installation process? No, there will be no maintenance, this is a one-time job. What is the preferred material (i.e.; wood type, stone, soil composition)? Railroad Tie Posts What is the performance period for this solicitation? The job shall be complete within 30 days of start date. When is the expected start date? 30 days after receipt of order. Is there a specific style or aesthetic standard for the flower beds? The veteran will be using these beds for mostly vegetables. What level of accessibility does the site provide for transporting materials and equipment? Its at a house, so I believe typical accessibility. Are there any restrictions on work hours or specific days for site access? Installation and Products will be delivered to the home of the veteran Monday-Friday between the hours of 8AM 5PM CST, Contractor will not perform any services on the U.S. Federal Holidays per the SOW. Are there any specific landscaping or building codes we must adhere to for this project in Washington, DC? This project is NOT in Washington DC, it is at a veteran s home in Oklahoma, and the specific address will be given at award. Will environmental permits or other compliance measure be required for construction at this site? Not that we are aware of. What are the start and completion dates for the project, including any phased milestones if applicable? Start date is expected approximately 30 days after receipt of order, and would like completed no later than 30 days after start state. Are there allowances or contingencies for delays due to unexpected conditions (e.g., weather, site access issues)? No there are not allowances for this. What is the budget range for the project, and are there funds set aside for potential additional costs if the site conditions vary unexpectedly? No there are no additional funds set aside, we cannot give a budget range. Does the VA cover any pre-project costs, such as sit preparation, or will those be of the contractor/subcontractor responsibilities? All costs will be contractor/subcontractor. Is there any expectation for post-construction maintenance of the flower beds, or is this a one-time installation only? This is a one-time installation only project. Who will be the on-site contact for approvals and decisions during construction? Veteran will be the on-site contact, If anything needs changing that involves additional funding, that request will have to be approved by the contracting officer and a modification to the contract will have to be done. Will any on-site oversight be provided by the VA or will this be managed solely by the contractor/subcontractor? No on-site oversight by the VA. Assigned VRC to the case will want to see the finished product and the veteran will sign off that they are happy with finished product. Soil Preparation: Is there a need for soil replacement, tilling, or any soil conditioning before planting? The area will need to be prepped, grass will be removed, ground will be leveled and tampered, landscaping will be dual layered stretched and stapled to the ground. Types of Flowers/Plants: Are there specific flower species or types that need to be planted, or would you like us to recommend options based on climate and location? The veteran will be using these beds for mostly vegetables. Design Specifications: Do you have any specific design preferences or layouts, such as color schemes, seasonal planting, or patterns? Are we free to give our own designs? They are 3 rectangular boxes that are to be built, no specific color schemes, it is vegetables that will be planted by the veteran, as the veteran is responsible for the soil, this is only a build. Environmental Conditions: Are there any environmental factors we should consider, such as shade, sunlight, or water accessibility in these areas? No Irrigation Requirements: Will we need to install or modify an irrigation system for these flowerbeds, or is there an existing system? Each flower bed will have an Irrigation/mist/drip system will be installed to water vegetation ext. timer will be installed and set to customer requests. Maintenance Requirements: Are there ongoing maintenance requirements (e.g., weeding, fertilizing, pruning) post-installation, and would you like this included in the proposal? No. Mulching/Edging Needs: Will you require mulching, edging, or other ground coverings, and if so, what materials do you prefer? No Access and Site Preparation: Will any equipment or materials need special site access or permissions to bring in (e.g., heavy machinery, soil, plants)? No Safety and Compliance: Are there any safety, environmental, or compliance regulations specific to this project that we need to be aware of? No Additional Permits or Approvals: Will any permits or approvals be necessary for installation, especially if major site modifications are required? No.
