Description: The American Embassy Nicosia accepts quotations for the rental of Hotel Conference Rooms for the period of October 15-18, 2024, in Limassol. The hotel shall be able to provide accommodation for 15 rooms for the night of October 13th and 135 rooms for the nights of 14-18th October, 2024.ï¿½ The hotel shall be able to provide a link for guests to book and prepay the accommodation at the same location as the conference rooms.ï¿½ The payment of the accommodation shall be the responsibility of the guests occupying the rooms.ï¿½ï¿½ Requirements:ï¿½ (Tuesday ï¿½ Friday October 15 ï¿½ October 18, 2024)ï¿½ (a) One large conference room for 125 people, for 4 daysï¿½ï¿½ (b) Two breakout rooms that can house 50 people each, for 4 daysï¿½ï¿½ (c) Lunch for the 4 main conference days,ï¿½ (d) Coffee breaks/Snacks for the 4 main conference days.ï¿½ Additional:ï¿½ - Conference Room + 2 breakout rooms ï¿½ - 3 microphones in conference room (1 lapel + 2 handheld), 2 microphones in each breakout room (total of 2 lapel + 2 handheld)ï¿½ - Podium in each roomï¿½ - Projectorï¿½ - Laser pen pointerï¿½ - Big screens (2 if the room is very big)ï¿½ - Wi-fiï¿½ - Water and glasses on table (1 still, 1 gas) empty bottles to be replaced during coffee breaks and lunchï¿½ - Lighting/sound/electrical engineer or callï¿½ ï¿½ - 2 coffee breaks each dayï¿½ ï¿½ Morning (coffee, tea, sodas, pastries/fruit)ï¿½ ï¿½ Afternoon (coffee, tea, sodas, sweets/fruit)ï¿½ ï¿½ - Buffet Lunch ï¿½ 4 daysï¿½ ï¿½ Meat, fish, pasta, soup, salad, fruit, sweetsï¿½ ELECTRONIC SUBMISSION/RESPONSES:ï¿½ The offers must be submitted in English, via email to NicosiaContracting@state.govï¿½ markedï¿½RFQ# 19CY6024Q0019 and must be received on or before August 7, 2024, at 1200 hours.ï¿½ All companies have to be registered in the SAM (System for Award Management) Database https://www.sam.govï¿½ prior to contract award pursuant to FAR provision 52.204-7.ï¿½ Therefore, prospective offerors are encouraged to register prior to the submittal of quotations/proposals.ï¿½ The guidelines for registration in SAM are also available at: SAM.gov | Entity Registrations
