****THIS IS A SOURCES SOUGHT NOTICE ONLY; THIS IS NOT A FORMAL REQUEST FOR QUOTE (RFQ)**** The 119th Wing / North Dakota Air National Guard (NDANG) is seeking Small Business contractors interested in providing hotel, lodging, and meal accommodations for an annual marriage enrichment event/retreat within the Fargo-Moorhead-West Fargo metropolitan area for a period of up to five (5) years.� This event would be held over one (1) single weekend (Friday through Sunday) between the second and fourth weekend of July each year beginning in July 2024. � DESCRIPTION OF REQUIREMENT: OVERVIEW: The annual marriage enrichment event will start with an opening session within the meeting space described below on Friday evening on the selected weekend in July.� The event will continue on Saturday morning at approximately 8:00 A.M. with breakfast and lunch to be provided by the venue (at approximately 12:00 P.M.) with the event concluding for the day in the late afternoon.� The marriage enrichment event will then commence again on Sunday morning at approximately 8:00 A.M. with breakfast to be provided by the venue and will conclude at approximately 11:00 AM to allow attendees to check out of their sleeping rooms and vacate the property of the venue. VENUE REQUIREMENTS: Sleeping Rooms and Meeting Room The venue should provide an appropriate, pleasant, and comfortable setting with consideration given to the nature of the event (marriage enrichment).� The venue should be able to accommodate up to 15 couples and additional program presenters (up to 2 individuals), resulting in a need for a maximum of 17 sleeping rooms.� The 15 sleeping rooms required for couples should each possess a minimum �Queen� or preferably �King� sized bed inclusive of industry-standard amenities.� In addition, the venue should have an appropriate meeting room that can seat up to 34 individuals with the capability to spread the couples out far enough to allow for adequate conversation privacy.� This meeting room must be available Friday evening through Sunday morning on the selected weekend in which this event will be held each July.� The 17 sleeping rooms (maximum) must be available on Friday night through Sunday morning on the selected weekend in which this event will be held each July.� � � � �2.�Meal Services The venue should also be capable of providing meal services for breakfast on Saturday and Sunday morning as well as lunch on Saturday on an annual basis.�� Minimum breakfast requirements:� Continental breakfast inclusive of a meat selection (bacon and/or sausage), scrambled eggs, and a selection of appropriate beverages (apple/grape juice, coffee, water).� Minimum lunch requirements: taco/fajita bar (or similar �buffet� style meal) with an appropriate selection of beverages (assorted sodas and water).� The venue would also be required to provide all required silverware, plates, napkins, glasses, etc. for all three (3) meals served (2 breakfast meals and 1 lunch meal). � � � �3.�Additional Considerations Certain amenities make for a more successful marriage retreat.� A venue located within close proximity (walking distance) to pubs/restaurants would be preferred as would couples rooms with one (1) single king bed, as opposed to two queen beds.� Additionally, Audio/Visual equipment availability for the meeting space and water and coffee stations within the meeting room are requested. **Requested Timeframe of Event (on an annual basis): �One weekend (Friday evening through Sunday morning) between the 2nd and 4th weekends of July on an annual basis (July 2024 through July 2028).� The determination on future year events beyond 2024 may be determined at the conclusion of the prior year�s event (for example, the determination for July 2025�s marriage enrichment event could be scheduled at the conclusion of July 2024�s event, or otherwise as needed/required). **Desired dates for 2024 Marriage Enrichment Event:� Weekend of Friday, July 12th, 2024, through Sunday, July 14th, 2024. All information from interested parties that is received in response to this Sources Sought notice will be collected and saved until which time this potential requirement becomes completely defined.� A solicitation MAY be issued once this requirement is completely defined.� This Sources Sought Notice is being posted for Market Research purposed only to identify Small Business vendors who are able to provide the requested goods and services. If you are a Small Business interested party who is able to provide the requested goods and services in support of the event identified above on an annual basis, please provide a capability statement identifying your firm's ability to meet these requirements via email to Captain Brian Erdmann at brian.erdmann@us.af.mil.� Please include the following in the subject line: ""Sources Sought W50S88-24-Q-0105"".� Interested vendors must be SAM registered.� Please provide your Contractor and Government Entity (CAGE) Code, unique entity identifier (UEI) number and Tax Identification Number (TIN) number when responding to this notice.� Additionally, budgetary price estimates are welcome, but not required, as this is not a formal RFQ.� Any information provided by interested parties will be retained for Market Research purposes only.� This notice does not authorize the commitment of appropriated funds, nor does it obligate the government to any contractual or otherwise financial agreement with any interested parties.
