- QUESTION AND ANSWER How is this being performed right now? This service has been provided in the past via Government Purchase Card (GPC). Can we get the recordings of previous calls? No, it could potentially violate patient HIPAA regulations. Is this a new service or replacement? This is a service that has previously been provided through a vendor paid w/ GPC. This will be a new base year contract with 4 option years for continued service. Scheduling Who can sign up? The catchment is provided by Milwaukee VA. List comes from current enrolled Veterans. how is the list maintained? New list provided for each town hall by Milwaukee VA. Will there be notifications for scheduled meetings/conferences? We plan out Sept for next Fiscal Year. What are the methods for the notifications? call\email\text Veterans are notified by telephone call message. During the meeting How are the attendees going to join the conference? Telephone call made to Veteran and they stay on the line to participate. If the attendee does not answer the call, how can he/she dial back in? Currently that is not an option but we would like for them to be able to reconnect without addition cost. When the calls are screened? what is the screening process for the questions? A screener notes the name and location and types the question in for the panel to select. For Live question do we want a delay so we can mute the attendee if needed? Yes we would want a mute function. What will the duration of the Q&A? As much of the 1 to 1.5 hour long call length as possible. 5-10 min talking points made at beginning of the teletown hall. Post Meeting What are the post meeting activities? Provide list of caller/number and questions, plus statistics of number of calls made/answered, went to voice mail. Provide receipt and access to recordings. How are the recording going to be delivered to the participants? Call/Email/text? Only delivered to the Milwaukee VA/PA office.
