- SOURCES SOUGHT NOTICE: NASA Glenn Space Apps 2022 The National Aeronautics and Space Administration is conducting Market Research to determine the interest in being an Event Organizer for the Cleveland Space Apps event that occurs over 48 hours in cities around the world. One of the host Cities will be Cleveland, Ohio and the event will take place at the NASA Glenn Research Center (""NASA Glenn""). Project Description The Organizer shall provide its services to NASA Glenn at no cost to the Government. The event will take place on the premises of NASA Glenn and the Organizer will have use of NASA Glenn�s host building, tables and chairs, networking support for attendees, and audio/video (�A/V�) capabilities and full A/V support during certain hours. Additionally, upon request, NASA Glenn may facilitate, but is not required, to identify potential subject matter experts (�SMEs�) and speakers. In all events, NASA Glenn�s liability for payment of services under this contract is �zero�. See below: Part of the Open Government Partnership, Space Apps is an international design challenge that occurs over 48 hours in cities around the world. Space Apps is a NASA incubator innovation program. The event will take place on the weekend of October 1st, 2022. One of the host cities is Cleveland. Cleveland has been a host location since 2013. The Organizer of the event will host, facilitate, administer, and provide logistical support for the Cleveland Space Apps event at the NASA Glenn Research Center (�NASA Glenn�). Additionally, the Organizer will coordinate with NASA Headquarters on the overall global planning and execution of the event. The Organizer shall provide its services to NASA Glenn at no cost. The event will take place on the premises of NASA Glenn and the Organizer will have use of NASA Glenn�s host building, tables and chairs, networking support for attendees, and audio/video (�A/V�) capabilities and full A/V support during certain hours Additionally, upon request, NASA Glenn may facilitate, but is not required, to identify potential subject matter experts (�SMEs�) and speakers. In all events, NASA Glenn�s liability for payment of services under this contract is �zero�. The event will take place across two days. There will be a meet and greet, speakers, entertainment, and orientation. Except for a speaker during the lunch, the second day will be devoted entirely to participants working on their projects until the afternoon when there will be a presentation of projects and judging. A requirement is that the Organizer has experience planning or running design challenges. Planning or organizing previous Space Apps Challenges is not required but is a plus. Here is a list of the roles and responsibilities for the Organizer: � Organizer shall coordinate and run the Cleveland location for Space Apps at Glenn Research Center. � Organizer shall work with NASA Glenn to ensure that the event will accommodate correct number of participants. � Organizer shall register to be the Cleveland location for Space Apps on the Space Apps Website. � Organizer shall manage the Cleveland location Webpage on the Space Apps Challenge Website including: �Providing attendees with information about location, agenda, and details about the event. Working with NASA Glenn to ensure that the Website includes any information about any laws, regulations, and NASA Glenn polices and rules including citizenship requirements. � Organizer will manage early registration. � Organizer may recruit vendors for the event if they choose to do so. Organizer will work with NASA Glenn to ensure that space is available for any vendor displays. The selection of any and all vendors participating in the 2022 Space Apps Challenge will be fair and free from bias or preference. Any and all vendors will comply with all laws, regulations, and NASA Glenn polices and rules. � Organizer shall run the registration desk during the event including providing name tags, and keeping track of attendance. � Organizer shall, working with NASA Glenn, handle late registration and determine criteria for whether someone should/will be admitted. � Organizer shall manage vendor operations, including food. � Organizer will be the primary source of advertising and communication about the event. This is not exclusive to Organizer. NASA Glenn may also be doing some advertising and communication for the event. � Organizer shall provide the hardware, software, and support for live streaming of the event. Organizer will work with the NASA Glenn networking team on this effort. � Organizer shall have a presence throughout the event. � Organizer shall conduct a closing ceremony, which includes judging final presentations and brief awards ceremony. � Organizer shall work with NASA Glenn to select judges for the closing ceremony of the event � Organizer shall, working with NASA Glenn, coordinate a K-12 activity on Saturday designed for student participants of all ages. � Organizers shall, working with NASA Glenn, work with schools, libraries, community partners, and other relevant institutions to recruit students for Saturday�s K-12 activity
