DEPARTMENT OF VETERANS AFFAIRS NETWORK CONTRACTING OFFICE (NCO) 16 MICHAEL E. DEBAKEY VA MEDICAL CENTER (VAMC), HOUSTON, TEXAS REQUEST FOR INFORMATION 36C25620Q1173 VISN 16 Wavemark Cath Lab License and support base year + 4 option years BACKGROUND: The Houston VAMC has a requirement for the following brand name supplies: Vendor shall provide hardware maintenance, software maintenance, and support services for the Wavemark system components (refer to Appendix A VISN 16 WaveMark Hardware Listing) REQUIREMENTS: HARDWARE MAINTENANCE Covers the smart cabinets, point of care stations and tagging stations. Please refer to the Appendix A for serial numbers covered under this agreement. The Hardware Maintenance includes the following elements: Monitoring (Smart Cabinets) Continuous remote monitoring to ensure every cabinet submits expected inventory audits per day. Monitoring (point of use stations) As part of the maintenance service, point of use stations are continuously monitored including ensuring that the touch screen is always ready for the user and provides high levels of performance and reliability. Hardware support If a problem is remotely identified, the contractor Help Desk will immediately alert the engineers who will remotely diagnose and, if possible, correct the issue remotely. If it is necessary to conduct on-site repairs to any piece of supported equipment, field engineers will contact the facility to schedule a visit within 12 operational hours of identifying the need for on-site maintenance. This service includes unlimited parts and labor and scheduling for fixes at the convenience of the users in the affected department. Hardware system updates The smart equipment runs firmware and software that may be updated to fix bugs, enhance performance or increase functionality. SOFTWARE MAINTENANCE Software maintenance includes installation of software upgrades, scheduled enhancements between major releases, and bug fixes. Monitoring of software Continuous automated monitoring of all WaveMark EiRTLS application performance, running reports, and troubleshooting of any issues identified during monitoring, including reaching out to customers if necessary. Interface Maintenance-Contractor shall provide remote monitoring service to ensure all jobs fire on the schedule and data is successfully received or transmitted, automated error alerts, engagement with contractor IT team, and upgrades to the interface engine. Bar Code module- maintain software support for barcode module integration SUPPORT AND PROFESSIONAL SERVICES Support Desk 24/7 Unlimited phone support and Business hours email support (M-F, 8am to 8pm CT) Global Product Database Feed: Daily updates from the WaveMark product tree, including, when available, supplier product feeds providing for the most up-to-date WaveMark product data. This data includes new manufacturers, products and manufacturer UPN changes added to WaveMark s global product database. Side Note: WaveMark global product database(s) are hosted on WaveMark servers outside of the VA environment. WaveMark servers are connected to the VA server hosting the WaveMark software to update and list new products within the WaveMark software. Product Database maintenance Includes unlimited product adds through the support of the staff at the WaveMark Help Desk. The database of products includes product name, model, UPN, GTIN (when available), IMF (Item Master File), and continuously updated barcode database and compliance with UDI (unique device identification) requirements. Unlimited Remote Training contractor includes ongoing training of super users, and new users, including training on new features as they are released. Account Management a minimum of 4 onsite meetings to review and optimize results from the system. Onsite meeting include training to new staff upon request of the VA Facility. Contractor will be granted administrative access to the VA servers hosting the WaveMark software with appropriate VA VPN site to site process upon contract award. Contractor shall be working with VA COR to develop the MOU/ISA post contract awarded. GENERAL REQUIREMENTS PERFORMANCE PERIOD The Period of Performance for this effort is 10/01/2018 through 9/30/2019 plus four (4) option years. Please provide details on the proposed EQUIVALENT products such as Manufacturer Name, Part Number, and Description. Please note that VA is particularly interested in determining the availability of Small Business Manufacturers.
