Description
The purpose for this source sought notice is to locate interested companies that can furnish the REQUIREMENTS listed in the SOW that is attached. Offeror's capability to meet this requirement including any current contracts with more than 2 years of Period of Performance (Civilian or Government) to include meeting the below listed accreditations or similar standards, facility description, capabilities, and certifications. Responses must show clear and convincing evidence that your company and its employees have the capabilities, training, and qualifications to provide this service to be considered as a source. Any future RFP will be conducted in accordance with FAR Parts 12 and 15. The Government may elect to award a Firm Fixed Price contract resulting from the solicitation. Please provide a detailed response to the below Performance Work Statement stating how you can meet all aspects stated. It is requested that responses be received no later than 2:00 pm Central, July 22nd, 2020. *NOTE* SDVOSB Contractors to provide documentation to fulfill capabilities of the following clause: FAR 52.219-27. No solicitation document is available currently; this notice is to acquire information only. Vendors interested in providing an offer will have to respond to a separate solicitation announcement. STATEMENT OF WORK Dolbey Fusion Dictaphone Transcription System Background/ Scope The Veteran s Health Care System of the Ozarks (VA) owns and/or operates medical systems and devices that require various types of service. This Scope of Work addresses the medical dictation system hardware and software and the various services required to maintain it. Objective Ensure all equipment is maintained to operate in a correct and safe manner as intended and designed by the Original Equipment Manufacturer (OEM). Ensure the software operates as designed and is updated with the latest versions. Tasks Provide licenses needed for the operation of the Dolbey Fusion Dictaphone Transcription System. Provide service and maintenance of the Dolbey Fusion Dictaphone Transcription System. Provide annual software license to use the voice and dialup software. Provide annual software license of the server operating software. Provide service and annual maintenance on the server hardware. Provide remote log-in service support 24X7X365. Provide system software and safety upgrades. Provide telephone support Monday-Friday 8am-5pm, CST; Technical and Clinical Applications. Provide emergency repair on equipment when notified of corrective action need by Biomed Representative. Include coverage of parts, labor, and travel to complete corrective maintenance. Provide Priority parts delivery, including overnight shipment. Provide licenses, upgrades and updates for software and Operating Systems (OS). Provide database updates. Delivery On-site work to be completed between the hours of 8am and 4:30pm CST, Monday through Friday, excluding holidays. Vendor will provide documentation for each occurrence that service is provided. Documentation to be provided within 5 business days of work completion. The documentation can be hard copy or electronic transmittal. Hard copy given to Biomed Representative. Electronic copy sent to COR via email. Work may be performed remotely. All necessary security and privacy issues will be addressed and complied with by the Vendor before any remote connection or service is performed. Equipment may not be removed from the facilities for service without authorization from Biomed Representative. Vendor will need to have a BAA. Electronic Media Removeable media (USB flash drive, DVD/CD, laptop, ) must be scanned by Biomed Representative prior to use on VHSO equipment. Media that has contained electronic Patient Information (Hard Drives, RAM, ) must remain in VHSO custody for destruction. Replaced components/parts will remain in VHSO custody. Place of Performance Work will be performed on equipment at the main facility: 1100 N College Ave, Fayetteville Arkansas. Period of Performance August 25, 2020 through August 24, 2021. Provide 4 Option years from August 25 through August 24.
