Description
February 3, 2020 Rev. May 27, 2020 SCOPE OF WORK Kitchen Exhaust Hood Cleaning and Inspection Introduction: The kitchen exhaust hoods located in the Canteen and Dietetics Kitchen are required to be cleaned and inspected on a semi-annual basis. There are Five (5) hoods in the Canteen and nine (9) hoods in Dietetics. Objectives: Establish a service contract to perform semi-annual cleaning of the exhaust hoods in the Canteen and Dietetics Kitchen. This will be a firm fixed contact. Period of Performance will be a Base year plus four (4) option years. Statement of Work: Contractor will provide all labor and materials to clean entire kitchen hood exhaust systems. Contractor will take appropriate actions to prevent grease and cleaning chemicals from contacting all equipment below exhaust hood systems. Cover electrical receptacles and switches as needed to prevent liquids contacting these devices and causing shorts or premature failures. The following items need to be cleaned and other associated components: All baffles/filters and drip pans Vertical and horizontal ductwork where accessible All fans/blowers located in Penthouse. One fan may serve multiple ducts/plenums for some exhaust hoods. Provide clear digital photos showing all internal portions of the hood, ductwork, and exhaust fans cleaned to bare metal. Clean up area after exhaust hood cleaning is complete. Remove any residual cleaning solution and debris that may have inadvertently contacted equipment or surrounding area. Contractor is required to obtain all permits prior to conducting inspection/cleaning services. Contractor must provide the following documents with their proposals: Certificate of Insurance and License. POC s Dietetics Director - 612-467-2556 Canteen Chief - 612-725-2029 Working hours: All work will be performed after hours Monday through Friday after 8:00pm till 4:00am. Work will not be performed on weekends & federal holidays. Observed Federal Holidays: Columbus Day, Veteran s Day, Thanksgiving Day, Christmas Day, New Year s Day Martin Luther King Birthday Washington s Birthday Memorial Day Independence Day, Labor Day Submittals: Contractor will provide documentation of the chemicals used throughout the cleaning process. Safety: Contractor is responsible for maintaining a safe working environment for their employees as well as the MVAHACS Staff. Work areas will be thoroughly cleaned after services are performed. If Applicable, Infection Control Risk Assessments (ICRA) and Interim Life Safety assessments (ILSMA) will need to be posted prior to performing work in the MVAHCS facility. Security: Contract personnel assigned to this contract must pass a high-level background investigation. Background investigations will be completed, and access badges acquired via coordination with the COR prior to any work being done on VA property by any contractor or subcontractor personnel. Each technician working on-site at any of the MVAHCS locations will be bonded. If Applicable, Technicians will be escorted by MVAHCS representative with proper security clearance unless background investigations and Annual Security Awareness Training and Rules of Behavior (SAT/ROB) are completed, and Contractor is following Special Directive 6500, Information Security Program. Contractor s Technicians are required to sign in/out for each communication closet they access. Contractor s Technicians are required to check in with the COR or Electric Shop Supervisor upon arrival at facility to obtain access and basic instructions, task explanations and project location information. Daily performance log sheets are required to be submitted to the CO and COR daily. The logs will provide information about location and progress that has been made. Parking/Storage: Parking is available in parking lots 11, 43A and 43B for vehicles (automobiles and Pickup trucks). Larger vehicles, equipment, job site trailers or storage containers must utilize parking lot 43A only. Contractor s contact information (name and phone number) is required to be displayed on all vehicles, equipment, trailers or containers that are stored overnight at the MVAHCS. Dropping off tools and materials at the loading dock is permitted but no parking is allowed in the loading dock area. Unattended vehicles in unauthorized parking areas will be ticketed by MVAHCS Police. END
