Description
Veterans Health Affairs, Network Contracting Office 5, is issuing this Notice of Intent to Sole Source in order to identify any potential sources that have the resources and capabilities to provide maintenance & repairs on the CenTraVac Chiller as described below that will not interrupt the continuum of care. This requirement is defined primary by existing hardware already in use at the Martinsburg, WV Veterans Affairs Medical Center, 510 Butler Avenue, Martinsburg, WV 25405. All responses to this Intent to Sole Source are due by 9/13/2019 2:00 PM EST Statement of Work VA Martinsburg Chiller Maintenance Agreement Contractor shall supply all equipment, tools, supplies, and labor necessary to provide routine maintenance, service, and service inspections on the following Trane CenTraVac Chillers: Equipment Qty Manufacturer Model Number Serial Number Asset Tag 450 Ton CenTraVac Chiller 1 Trane CVHE 050GA L10M06713 C01 900 Ton CenTraVac Chiller 1 Trane CVHF 108GA L10M06698 C02 900 Ton CenTraVac Chiller 1 Trane CVHF 108GA L10M06706 C03 Contractor shall coordinate all maintenance, service, and inspections with the COR (HVAC&R Supervisor) during normal working hours. (8:00 AM 4:30 PM Monday Friday). Contractor shall provide phone response to emergency calls within one (1) hour of receiving call and a two (2) hour response time (technician on site) for all emergency calls 24/7. VAMC will determine what calls they consider emergency and will notify the call service as such. Up to two (2) hours of emergency services time will be included in the agreement. Contractor shall provide all scheduled maintenance and repair labor, maintenance and repair parts, and all other materials necessary to perform eleven (11) operating inspections per year, annual routine maintenance service, annual condenser tube cleaning, and all other services as described in Attachment A to each of the units listed above. Contractor shall provide up to 100 pounds of replacement refrigerant per unit per year. Contractor shall provide detailed preventative maintenance reports, service reports, and inspection reports within forty eight (48) hours of completion of these services. Contractor shall follow all VA Medical Center requirements concerning lockout/tagout procedures as required and VAMC/EPA hazardous waste removal and disposal requirements. Contractor shall remove and dispose of any equipment and wiring that they or their subcontractors remove from service and will no longer be needed after ensuring with the COR that the facility does not want to retain it. All trash will be removed daily and all areas that work was conducted in will be placed back to the same condition as it was prior to work being performed.
