- Introduction This Sources Sought is issued solely for information and planning purposes only. This is not an Invitation for Bids, a Request for Quotation, or a Request for Proposal, nor does it restrict the Government s decision on the ultimate acquisition approach. In accordance with FAR 15.201(e), responses to this notice will not be used as an Offer and cannot be accepted by the Government to form a binding contract. Any contract/order(s) that might be awarded based on information received or derived from this market research will be the outcome of a separate process. The Department of Veterans Affairs North Texas VA Health Care System located in Dallas, Texas is conducting a market survey to help determine the availability and technical capability of qualified small businesses, veteran-owned small businesses, service-disabled veteran-owned small businesses and/or HUBZone small businesses capable of serving the needs identified below. The purpose of this notice is to obtain information regarding: (1) the availability and capability of qualified small business sources; (2) whether they are small businesses; HUBZone small businesses; service-disabled, veteran-owned small businesses; 8(a) small businesses; veteran-owned small businesses; woman-owned small businesses; or small disadvantaged businesses; and (3) their size classification relative to the North American Industry Classification System (NAICS) code for the proposed acquisition. Your responses to the information requested will assist the Government in determining the appropriate acquisition method, including whether a set-aside is possible. PROJECT REQUIREMENTS: The requirements listed in the following Scope of Work are to be applied upon issuance of the service/maintenance contract for the Dallas VAMC, 4500 S. Lancaster Rd Dallas, Texas for the period October 1, 2019 through September 30, 2020. GENERAL: The purpose of this contract is to establish a standing maintenance program for the ScrubEx machine. This contract provides for a factory trained service technician to conduct the Preventative Maintenance at an interval of your choice. Primary Tasks: The Preventative Maintenance may be performed: Contractor provides a comprehensive service and preventative maintenance protection plan that covered all Dallas VA Medical center ScrubEx machines at no extra cost to the government. The preventive maintenance includes: Annual Preventative Maintenance visit. As part of this on-site visit, an IPA factory-trained technician will conduct a more than 100+ point equipment inspection and perform cleaning, adjustments, and any required repairs to ensure your equipment continues to run efficiently and effectively. Unlimited Parts, Labor and Phone Support Unlimited access to remote and on-site support teams. Customer Service Engineers are available by phone seven days a week. Priority Response Time Access to more than 300+ factory trained technicians across the country. Priority response time for on-site calls, with same day service if call is made before noon. Software/Firmware Updates Software and firmware updates, to the latest version applicable based on equipment model, are Included as needed at no additional charge with the annual Preventative Maintenance Visit. In addition, IPA will analyze and optimize your system configuration and provide operational training as needed. SAFETY: All work is to be performed in accordance with the guidelines established by Federal, State, and local ordinances. The contractor will provide required documentation includes the name of the competent person who will be on site to perform preventive maintenance on the ScrubEx Machine. HOURS OF OPERATION: Normal business hours are 8:00 a.m. to 4:30 p.m., Monday through Friday, excluding Federal Holidays. However, alternate date may be negotiated by the COR on campus where the preventive maintenance is being performed if it does not disrupt facility waste processing operation. except otherwise negotiated SCHEDULING: The Contractor shall provide the anticipated work schedules to the Contracting Officer s Representative (COR) no later than the effective date of the contract. Contractor must report to the Housekeeping Officer, COR or designated Supervisor each morning to ensure shutdown of waste processing operation START OF WORK: Contractor is responsible for assessing weather in Dallas Texas to ensure minimal disruption. Government will not be liable for travel or any other disbursement not pre-negotiated or covered on Purchasing Order.
