- The combined synopsis solicitation 36C10E19Q0161 is amended to answer the following vendor questions. This is the final Q/A. No more questions will be posted. Q - The VA s Estimated copy volume is stated at 100,000 per month per device on page 5. So you are saying that for these 14 devices you will be averaging 1.4 million total impressions every month? Please confirm that is what your average monthly copy volume is. A The monthly volume is typically 100,000 for all machines combined. Not per machine. Please see actual monthly volume posted at the end of this Q/A. Q - Can the VA please provide actual volume information off of the existing 14 devices that will be replaced? The incumbent who has the current contract(s) for the existing devices has a distinct advantage in devising their pricing for maintenance without the rest of industry being provided this information. A - The LARO is reducing the amount of systems from about 21 to 14 total machines. A picture of the actual monthly volume is posted at the end of this Q/A. Q Will the VA confirm that they are not requiring the hard drives to be surrendered at the end of the lease as long as they are sanitized according to DoD and NIST specifications and can provide documentation that it has been completed? A - Analyst support may refer to administrative support. Q - Can the VA clarify what is meant in all of the line item where it states a required spec and then is followed by "exceeds requirement" ex. ADF Capacity 50+ sheets Exceeds requirement, Includes 100 sheet ADF A - The requirement is for a ADF that can hold 50 sheets. Q - For the 13 total devices listed under bullet 2. can the VA clarify which speed they are requiring, 55 or 65 ppm? The way it is written is very confusing to industry. A - 55PPM Q - Will the VA accept a total paper capacity of 4150 sheets without the need for a large capacity side paper deck? A - Large capacity side item not required. Q - Will the VA remove the word binding from the third bullet under section 3 specifications for the one device equal to the Xerox B8065HG as this model does not offer binding capabilities only 2-3 hole-punch capabilities? A The word binding can be removed and is not required but is acceptable. Q - Can the VA clarify which is the acceptable paper weight? Is it 52 GSM up to 255 GSM or is it 50 GSM up to 216GSM. The way this is worded is confusing to industry. A This RO is not using special paper. They use normal thickness, low cost paper. Q - Can the VA clarify which DPI they are requesting? Is it 1800 x 600 or 1200 x 1200? A - 4800 x 600 dpi, 256 shades of gray, 1200 x 1200 emulation Q - Does the VA require the ability to FAX? A - Fax needed Q - Does the VA require surge protectors? A - No extra surge protection. Q - Does the VA require the ability to OCR scanned documents? A - No OCR requirement. Q - On Page 3 in the requirements section item # 2 the VA states that they are looking for a brand name or equal to Xerox B8055HG but in the bulleted section the requirement states a Minimum of 50 PPM. Do you require a 50 PPM device or a 55 PPM device? A - If a minimum is specified, it is acceptable Q - On Page 3 in the requirements section item # 3 the VA states that they are looking for a brand name or equal to Xerox B8065HG but in the bulleted section the requirement states a Minimum of 60 PPM. Do you require a 60 PPM device or a 65 PPM device? A - If a minimum is specified, it is acceptable Q - On Page 3 in the requirements section item # 2 the VA states that they are looking for a minimum of 2 500 sheet trays but also has 4 trays with 4600 total sheets. Please clarify what should be included-2 500 sheet trays or 4 trays and 4600 sheets? A - If a minimum is specified, it is acceptable Actual Average Monthly Volume posted below.
