?.## SOURCES SOUGHT This is a SOURCES SOUGHT announcement only. It is neither a solicitation announcement nor a request for proposal or quote and does no obligate the Government to award a contract. Requests for a solicitation will not receive a response. Responses to this Sources Sought must be in writing. The purpose of this Sources Sought Announcement is for market research to make appropriate acquisition decisions and to gain knowledge of potential qualified businesses. Responses to this notice shall include: Company Name Address Point of Contact Phone, Fax, and Email DUNS number Cage Code Type of business, e.g. Service Disabled Veteran Owned Small Business, Veteran Owned Small Business, 8(a), HUB Zone, Women Owned Small Business, SDB Must provide a capability statement that addresses the organizations qualifications and ability to perform the work described below: The Harry S. Truman Memorial Hospital is looking to procure a Garment Exchange System. GARMENT EXCHANGE SYSTEM BAR CODE Furnish and install one (1) dispensing system for uniforms and / or scrub suits on hangers only with deposit bin for 1200 users The Uniform system will have assigned slots with bar code labels. System will interface with dedicated secure enclosed drop off bin, as detailed below. System will have a loading station with an alarm feature, and the operator shall be able to enter and call up each position as needed, and that slot will be brought to the loading point without requiring the operator to move. Expandable software license with an initial capacity of 1200 users Each slot/hook shall be capable of holding a minimum of five (5) garments. The system must fit in an available space that is approximately 400 Sq. ft. Contractor will: Remove the existing garment system and components and accept it as a trade in. Install new garment system. To include all low voltage wiring to communicate between all machines and software. Provide all design and build services as a turn-key project, Hook up of electric and air lines to equipment, PC units. Provide installation, training, freight rigging and delivery. General Requirements Automated dispensing and return of uniforms. There will be a secure locking door to prevent unauthorized access to the system. The door will only open by entering a pin number at the touch screen Uniforms can only be removed from the system at the designated access point. The conveyor is to be floor mounted. Will possess an integrated software system for bar code tracking will be provided by the contractor. The conveyor will be loaded in a single operation by loading items to empty slots in sequential order System needs to be capable of denying access to items after exceeding their limit. System must include, heat seal machine, labels, bar codes, color printer and/or visually readable labels, PC units, hand scanner for loading the system, all scanning hardware) must be provided by contractor. The system shall include uniform management software to provide integrated garment tracking together with monitoring and control of a user database. The machine shall be connected to a contractor provided server / computer and operate through the stand-alone network to allow users to be added or deleted remotely. Required reports from the software Inventory Reports Employee Reports Purchasing Reports Sales Reports Repair Reports Production Reports Report Generator Ability to create reports. Report Scheduler Ability to schedule reports to be automatically emailed Soiled return bins System shall have an enclosed deposit bin which will be mounted in wall or used as a free-standing bin in changing or common areas. Video camera and sensor system is required to send credit for deposit and record the items dropped off in the bin for future review Items are reconciled, and status is updated in the software, when the bar codes are scanned before sending to laundry. Electrical spec 110V single phase, plug in to wall outlet capable Grey Market Goods: (a) Gray market items are Original Equipment Manufacturer s (OEM) goods sold through unauthorized channels in direct competition with authorized distributors. This procurement is for new OEM supplies, equipment and/or services contracts for maintenance of equipment (i.e. replacement parts) for VA Medical Centers. No remanufactures or gray market items will be acceptable. (b) Vendor shall be an OEM, authorized dealer, authorized distributor or authorized reseller for the proposed supplies, equipment and/or services contracts for maintenance of equipment (i.e. replacement parts), verified by an authorization letter or other documents from the OEM, such that the OEM s warranty and service are provided and maintained by the OEM. All software licensing, warranty and service associated with the supplies, equipment and/or services contracts for maintenance of equipment shall be in accordance with the OEM terms and conditions. (c) The delivery of gray market items to the VA in the fulfillment of an order/award constitutes a breach of contract. Accordingly, the VA reserves the right enforce any of its contractual remedies. This includes termination of the contract or, solely at the VA s election, allowing the Vendor to replace, at no cost to the Government, any remanufactured or gray market item(s) delivered to a VA medical facility upon discovery of such items.
