- U.S. Special Operations Command (USSOCOM) is seeking interested organizations/associations to plan, coordinate and execute the annual Special Operations Forces Industry Conference (SOFIC) from calendar year 2020 through 2022. The selected entity will be responsible for each SOFIC conference between 2020 and 2022 (3 conferences in total). Interested organizations/associations must be a recognized scientific, technical, educational, or professional organization/association. The SOFIC event is a co-sponsored event between USSOCOM and the organization/association selected. There will be no contract signed between the organization/association and USSOCOM: A Memorandum of Agreement will be put in place outlining the roles and responsibilities of each party. SOFIC is currently held annually in May (dates are negotiable for 2020-2022) at the Tampa Convention Center. These conferences are scheduled to last four days (Mon.-Thur.). Due to the nature and magnitude of set up, the Tampa Convention Center must be reserved Sunday through Friday. Interested organizations/associations will be responsible for (but not limited to) performance of advertising and marketing operations, establishment and launch of online and on-site automated registration processes, collection of all monies, creation of an agenda with government input, scheduling of large plenary rooms and breakout rooms, the exhibit hall space utilization plan for vendors, food service for breakfast and lunch, lodging, design and development of a SOFIC website, and coordination with USSOCOM and local law enforcement to ensure adequate security. For planning purposes organizations/associations should plan on the following to help them understand the size, scope and complexity of the conference. Attendees: Approximately 12,000 Exhibitors: Approximately 350 industry and 30 Government booths Exhibit Hall: Approximately 86,000 sq ft USSOCOM is interested in innovative and unique ideas on how to make future SOFIC events successful. The command is looking for proposals that illustrate how interested organizations/associations plan on executing the 2020 SOFIC Conference as well as the 2021 and 2022 conferences. Responses should be no longer than 10 pages, 12 font, Times New Roman and indicate past performance references (name of conference, number of attendees, number of exhibitors, dates and a point of contact with phone number and e-mail address) of at least 6 conferences that your organization/association hosted in the last 3 years with the same size, scope, and complexity as SOFIC. Industry must also propose dates for SOFIC along with a marketing/communications plan, registration plan, sample agenda, food service plan, audiovisual plan, badging plan, plan for government booths, a plan to support a 30% goal of booth space for Small Businesses and a schedule to show milestones leading up to the 2020 conference assuming a July 2019 agreement date. Selection Criteria: 1) Go/No-Go: proposal must clearly identify 6 conferences in the last 3 years with the same size, scope, and complexity of SOFIC. 2) Go/No-Go: Comprehensive plans - Marketing/communication plan, registration plan, sample agenda, food service plan, audiovisual plan, badging plan, plan for government booths, a plan to support a 30% goal of booth space for Small Businesses and a schedule to show milestones leading up to the 2020 conference assuming a July 2019 agreement date. Those proposals that pass the Go/No-Go criteria above and provide USSOCOM with the most innovative and unique ideas for success will be asked to provide an oral presentation to SOF AT&L leadership explaining your concept in greater detail to support SOFIC. An oral presentation outlining your concept to support SOFIC will held at HQ USSOCOM in Tampa, Fla. and shall not exceed 60 minutes in length. Selection will be made on the best overall approach.
