Description
1. DESCRIPTION OF SERVICES: To provide all labor necessary to perform the services specified for the items in paragraph 2. 2. SERVICE DELIVERY SUMMARY: a. Scope of Work. The contractor shall be responsible for providing 28 standard rooms for adequate lodging, meals, and meeting areas for an estimated 115-140 people (56 adults and 50-80 children). b. Requirements. Property shall be a resort and have availability 1-3 September 2018, with an indoor waterpark, and be a minimum 2 hrs away and a maximum 6 hrs drive of Scott AFB, IL. Required Contractor shall provide all accommodations, including food, lodging, and meeting rooms. 1. Some attendees will be families; therefore, lodging shall include rooms for the families that will accommodate six family members. The contractor shall also have available suitable sleeping furniture for infants/toddlers. 2. The contractor shall have a minimum of three conference rooms available for use for retreat events. (1) One of the meeting rooms will have all the necessary AV (speakers, wireless mikes, screens with projector or large screen TV 60 in or larger, extension cords, podium and tables for, registration and books, in the meeting rooms with tables and chairs for fifty-six adults). Adult Meeting Room to be available to the Families and Staff 0600 to 2200 or later each day. (2) The other two meeting rooms are needed for child care. One room will accommodate little children (babies) and the other will accommodate older children (School Age). Rooms will have the ability to be locked for the security of the children, and the equipment after hours when workers are not present. (3) All three rooms will be available on: (a) Saturday 1600-1800 (b) Sunday 0900-1000 (c) Sunday 1630-1800 3. The contractor will be able to provide both catered and meal cards to accommodate meals for the training: (1) Saturday 1 September: Dinner (Meal card) (2) Sunday 2 September: Breakfast catered 0730 -0900, Lunch and Dinner (Meal Card) (3) Monday 3 September. Breakfast (Meal Card) 4. The contractor shall have personnel available and/or on call at all times for setup, cleanup, and general assistance in all activities. 5. Contractor will provide welcome bag for each room (if more than one room is needed for one family then only one bag per family) which will hold the supplies provided by the Chaplain, books, schedules and curriculum for the training. 6. Changes and Cancellations: The Chaplain would notify the Contractor of need to cancel NLT 72 hours prior to the first night of the event.
