Description
TUMOR REGISTRY The contractor shall provide certified Tumor Registry Services for the Eastern Oklahoma VA Health Care System (EOVAHCS), 1011 Honor Heights Drive, Muskogee, Oklahoma 74401 on an on-demand, as-needed basis, in accordance with the specifications listed herein. The contractor must complete the Case Findings/Abstracts from 2015 and 2016 within 120 days of beginning of this contract. DESCRIPTION OF SERVICES 1. Contractor shall provide certified Tumor Registry Services for the EOVAHCS, 1011 Honor Heights Drive, OK 74401 on an on-demand, as-needed basis, as follows: a. Abstracting: Contractor is responsible to transcribe and interpret information from patient records regarding treatment provided to new cancer patients to include: Analytical Cases either diagnosed and/or treated at the EOVAHCS (i.e., Class 10, 13,14,20,21,22) Non-Analytical Cases picked up at the request of the facility that would not usually qualify for abstracting and would not be considered eligible for sending to the National Cancer Registry and are not subject to follow-up requirements (i.e., severe cervical dysplasia, non-malignant oncocytomas of the kidneys, prostate PIN, and Class of Cases 30-34) Quality Control Completed abstracts are reviewed by the Contracting Officer s Representative (COR) or Cancer Program Manager (COR designee). Contractor shall correct any mistakes in the registry cases made by them at no cost to the VA. b. Follow-Up: Contractor is responsible for tracking the care all patients received in the years following their cancer diagnosis at the EOVAHCS and/or at other health care institutions. c. Casefinding/Suspense: Customer shall generate a suspense list from the VA VISTA OncoTrax Program that indicates a possible cancer diagnosis. Contractor shall review this list for possible reporting to the National Cancer Registry and report as necessary including the addition of the appropriate American Joint Committee on Cancer (AJCC) Stage form. 2. Contractor shall perform all contract services via remote connection to the VA system. Contractor is responsible to provide all equipment and supplies including work areas and computer workstations necessary to complete services required under this contract. Contractor shall be required to ensure set-up with Public Key Infrastructure (PKI) capabilities. 3. VA currently uses a Computerized Patient Record System (CPRS) in VISTA. VA will provide contractor with electronic access to CPRS for use by the Certified Tumor Registrar(s). Contractor employees are responsible to access the system a minimum of once every thirty (30) days. Failure to access VA system at least once every thirty (30) days will result in the contractor employees being locked out of the VA system. 4. Contractor shall assign a project manager to this contractor services. VA will assign a COR to this contract. The Contractor s project manager shall be available to the VA COR for addressing the day-to-day issues of the contract. QUALIFICATIONS 1. Personnel assigned by the contractor to perform the services covered by this contract shall be a Certified Tumor Registrar with experience to complete all required duties of the contract. 2. Personnel assigned by the contractor to perform the services covered by this contract shall be proficient in written and spoken English (38 USC 7402). 3. Contractor assigned personnel must be computer literate as patient documentation is directly input in the patient s electronic medical record IMPORTANT NOTE: This RFI (Request for Information) is for information only; no award will be made off of this RFI.
