- PRE-SOLICITATION NOTICE SGE500-17-R-0108 Subject: The PEPFAR Secretariat is seeking a Conference Organizer for Africa, for the American Embassy Pretoria, South Africa The Regional Procurement Support Office - Frankfurt, (RPSO-FR) Germany intends to issue a Request for Proposal (RFP) under full and open competition procedures for a Conference Organizer. The President's Emergency Plan for AIDS Relief (PEPFAR) Secretariat is seeking a company / someone to organize on an annual basis nine Provincial Meetings, three Technical Working Group Meetings, and four Quarterly Liaison Meetings. The PEPFAR Coordination Office in the U.S. Department of State requests the services of a contractor to coordinate and manage numerous meetings, workshops and conferences on behalf of PEPFAR / South Africa over a one-year period, with four one-year options for extending the contract. The PEPFAR Coordination Office requires meeting management and logistical support services for technical and coordination meetings in each of nine provinces. It is envisioned that the contractor will propose a team who will be capable and qualified to execute all tasks that are identified in the solicitation. The Consulate plans to award a fixed price Services Contract in Fiscal Year 2017. The estimated price for this services contract is between 1,000,000.00 and 5,000,000.00 U.S. Dollars. You are encouraged to make your proposal competitive. You are also cautioned against any collusion with other potential offerors with regard to price quotations to be submitted. The RFP does not commit RPSO-FR to make any award; RPSO-FR may cancel this RFP, or any part of it. Potential Contractors shall be in possession of all required permits and licenses to work in South Africa; and, be registered in the Website: System for Acquisition Management (SAM). NOTE: Registration in the SAM database is mandatory to be considered for award. Offerors may obtain information on registration and annual confirmation requirements via the internet at the help tab of https://www.sam.gov. Communication, correspondence and documentation must be in the English language. It is anticipated that the solicitation package will be issued in mid-August 2017. The solicitation documents will be supplied only upon request; the documents will not be posted on FBO. Companies / persons interested in this requirement shall express their interest via written correspondence to David A. Cubitt at email addresses CubittDA@state.gov and FrankfurtRPSO@state.gov, or by fax (49) 69 7535-3329 not later than August 8, 2017. DO NOT TELEPHONE.
