- ******** HSFE70-17-Q-0015 Questions/ Answers ************** 1. How are the 30 individual classrooms set up and for how many in each? Each class room will need Wifi and be able to be set up in different class room layouts. Each class will vary from 15 to 30 or more students dependent upon subject being taught. 2. Can you tell me the size of the breakouts for each day? Can guest rooms be used? Breakouts need to be able to accommodate from 15 to 30 or more students, dependent upon subject being taught, classroom style. No guest room are to be used for classrooms. 3. Does the Combined Synopsis/Solicitation under solicitation number HSFE7017Q0015 contain requirements similar to a current contract? If possible, please provide the current contract number. Or, is this a new requirement for the government? This is not a new requirement. The previous purchase order number was HSFE70-16-P-0050. 4. Will you consider a hotel that utilizes a convention center or another hotel for some of the meeting space? The space must meet the specifications in the SOW 5. Can you provide details on audio visual needs? A/V hook ups needed for Power Point Style instruction. 6. How do we bill for set up time prior to 3/9/17? Billing is done an actual basis and not billed for service not rendered or not provided. 7. What format would you like the technical approach and past performance? All responses shall be unclassified. The document format shall be either Microsoft Word (.doc or.docx), or Adobe Acrobat (.pdf) formats. Responses shall be prepared using 12 pt. font, 1 inch margins, and 8.5" by 11" paper and shall not exceed five (5) pages in length, including images, data displays, charts, graphs, and tables. Respondents are encouraged to ensure that their submittals are complete and address all items outlined within this RFQ. Respondents may provide additional promotional literature in addition to their response as long as the literature conforms to the response format. Submissions in response to this RFQ shall not exceed 5 pages. Submissions in response to this RFQ should be in the form of Microsoft Word and/or PDF (searchable format) documents attached to emails. 8. I show an arrival date of 3/9/17. Is this correct? That is only a few weeks away so I wanted to make sure you were not looking for 2018?? Correct. 3/9 9. Is there flexibility with dates to arrive on 3/30 and host into April? No 10. For meals, does the m&ie prices have to include gratuity charges and still come in under the allotted amounts or can the gratuity be a separate line item? When meals are in banquets the gratuity can be as much as 23% additional. The meals are set priced and there is no room for flexibility. 11. For all the items in the solicitation /contract form in the 34 pages, can we just make note that the hotel has reviewed all these statements and they are in agreement? I want to make sure that we don't leave out any important part. Any sections that need addressed should be addressed in the proposal 12. I don't see any mention of parking fees. Most hotels in downtown cities will be quite pricy for parking so 340 cars parking for 19 nights will be a huge expense. I'm just curious why this is not part of the RFQ. Should we disclose it anyway? It is the responsibility of the offeror to propose a responsible quote. 13. Would there be an option of splitting across two hotels for the group rooms' portion? We would be able to work with the function space and meals, however we would have to split the guest rooms with another nearby hotel. No 14. Is any flexibility in the meeting space dates? We currently have 3 dates that the ballroom is not available, March 11, 18 and 22. Would your training be able to work around those dates or is the room needed each day? No
