- Questions and Answers #3 - RFP # LCFLD16RFP002 - SMIV Digitization and Digital Archiving of Books PLEASE NOTE: 1. The deadline for submitting a quotation is 5:00 pm Friday, April 15, 2016. 2. Offerors MUST submit response package to vfox@loc.gov AND to flicc-cl@loc.gov. QUESTIONS AND ANSWERS Q.20. Locations. Section C.5.1. Locations: Scanning activities shall be conducted on site at Customer locations (the Smithsonian Libraries and one or more BHL consortium sites), and at one or more Contractor-operated locations. Does this mean we need to consider that digitization activities could be performed at several locations? If yes, can you describe the expected locations and number of books involved. A.20. For Contractor-operated facilities: At a minimum, the Contractor needs to provide one scanning operation in London, United Kingdom, and one other operation in the United States. For Customer-operated facilities with Contractor-supplied equipment: There is a location at the Smithsonian Libraries and up to two other locations in the United States - one in the Northeast, and one in the Midwest or Mid-Atlantic region. The number of books for the Contractor location in London is estimated at 200. See Section B for quantities of books for Customer locations. Partnerships and subcontractors are not precluded if sufficient information about the partner/subcontractor, as well as a plan for managing the work and quality assurance of the partner/subcontractor, is provided in the offeror's proposal. Q.21. Digitization set-up. Concerning providing our digitization set-up for performing this project: is a particular type of V-Shape set-up expected? If yes, can fold-out material be digitized using other equipment? A.21. The offeror should propose the equipment he determines is the best solution to perform non-destructive scanning of bound materials, delivering the images at the required quality level. Multiple scanners for different purposes may be proposed, for example, for bound volumes and foldout pages.
