- Hi Anthony. Please find below our requests for clarification. Confirmation of receipt is appreciated. "Can you provide data showing the use of valet for the past twelve months? Ideally it will show volumes for each day. addressed in the SOW, reporting with current Valet has been irregular due to changes in supervision. "What is the maximum number of vehicles to be parked in a single day under this contract? Unknown, the demand for Valet changes daily It has increased since we commenced the original contract. What provisions exist should demand begin to regularly exceed expectations? Contracting and Leadership may re-evaluate the costs and determine value changes. "What is the expected action when the assigned parking area is full? We have a spill over area in the lot for about 10 cars. "What is the location of the valet drop-off/pick-up area? Front Circle If in the main circle drive, what other traffic uses that area? Public transportation, Buses, Vans, Taxi's, Emergency vehicles. How many car lengths are available for valet use? Approx.. 6 car lengths in a circle fashion. Is parking allowed in that area? No it is an emergency vehicle zone and for pick up drop off only. "Is the valet area under a covered driveway? No If not, can the contractor provide reasonable shelter from weather? We have covered ramps but limited heat and cooling services. "What are the current average wait times? Within the required allotment Is the current vendor meeting the 15 minute requirement? Yes, no complaints. "What is the current staffing level? 7 How many employees are subject to the non-displacement rules? What are their official start dates for calculation of benefits due? ? "Can we have multiple designated supervisors to ensure that one is always present when work is performed? yes "What is considered "reasonable assistance" when helping veterans into the lobby? Assistance out of vehicle and placement into a wheelchair possibly, pushing wheel chair up the ramp into the main lobby where internal transportation will take over. "What is considered appropriate for 'Veteran Identification'? VA or Military ID What action is expected if ID is not presented and they are not a first-time patient? Refer the matter to VA Police for follow up. "Are there any known/planned construction projects which may impact the operation during the life of the contract? Possible Parking Garage in the upcoming years. "What coordination is required for special events? Very Little Will contract modifications be issued to handle special event valet parking? No. "VA internal claims process/contact Al Articolo Police Chief. "How are we to find veterans to return their keys at the end of the day? Current system has location of clients last appointment of day, returning the keys to them in person is recommended as the facility has no system in place. Will the VA consider having the keys left in the custody of the police as is done at most other VA locations? Or at some other secure, central location where veterans can retrieve them? yes. "Can customer feedback be collected through other methods, such as telephone hotlines, online surveys, or email submissions? No other methods. "Please elaborate on the requirement for 'thorough understanding of written and spoken English'. How will that be tested/verified? Spoken and written fluency in the language "Our company uses electronic schedules and time sheets to record attendance and timeliness. The COR can see this upon request. Is this acceptable? yes "The uniform requirement says "no sneakers". This is very unreasonable for positions that require people to be on their feet all day and walking/running frequently. We fully understand the need for a professional appearance. Is the VA open to a more flexible shoe policy so long as the uniform is approved by the VA? Yes "The uniform requirement says a "different, more formal uniform" is required for our supervisor. We ensure our supervisor is easy to find & has a name tag that clearly identifies them as the supervisor, and in our experience the patients come to know our team pretty well since they are typically regular visitors. Is the VA open to having the same uniform for our whole team so long as the supervisor is readily available to anyone who requests them? Yes "Please provide the latest monthly report or sample See attached "Will the VA provide any of the following? office space? NO wifi access? NO electrical outlet access? No. overnight equipment storage? Currently a large key case is rolled in and out of the lobby area to the outside front circle. "Can you provide a sample report showing required items? No Reports for required items. Proper safety color vest for high visibility are required as are other items detailed in the SOW.
