Sources Sought for CRCC conference The 6th Contracting Squadron (6 CONS) at MacDill AFB issues this Sources Sought Synopsis for information and planning purposes only. THIS IS NOT A REQUEST FOR PROPOSAL OR INVITATION FOR BID. There is no bid package, solicitation, specifications or drawings available with this announcement. This synopsis is not to be construed as a commitment by the Government nor will the Government pay for any information solicited. Response is strictly voluntary; no reimbursement will be made for any costs associated with providing information in response to this synopsis or any follow-up information requests. The government shall not be liable for or suffer any consequential damages for any improperly identified information. For purposes of this RFI, the North American Industry Classification System (NAICS) Codes is 721110. The 6th Contracting Squadron is seeking vendors who can provide the service listed below- in your response please provide your ability to provide all of the service and how you are able to provide the service. Please include information on your company such as Cage Code, small business size status, and company profile. Responses are due back by 21 December 2015 by 2:00 PM EST. CONTRACTOR SHALL PROVIDE LABOR, MATERIALS, & LOCATION NECESSARY TO PROVIDE THE FOLLOWING: USCENTCOM CCJ6 has a conference room(s) and function requirement within the Washington DC area that preferably has free shuttle service to an International Airport; include a need for general session room that can accommodate 150 attendees. All rooms need to be free of obstructions and limited views. NOTE: The conference will be either on the week of the 18th or 25th April 2016 depending on the availability. Also Room Block should be for approx. 15 support staff from 17 Apr 2016 to 22 Apr 2016 or 24 Apr to 29 Apr 2016 depending on week of the conference and then peak nights as described in the document. - Individuals will be using their personal credit cards for payment - Only the staff is guaranteed to stay at the hotel due to last minute confirmations - The room pattern for the staff will be provided once hotel is chosen CENTRAL REGION COMMUNICATIONS CONFERENCE REQUIREMENT DOCUMENT Project: Central Region Communications Conference (CRCC) 2016, 19 - 20 Apr 2016 or 26 - 27 Apr 2016. The conference will be held at a venue (3 to 5 Star Hotel) (within the Washington DC Area to include Baltimore, Northern Virginia, and Southern Maryland) befitting senior US and partner nation leaders. All required rooms requested to be collocated and have limited access by non-attendees. Requirements include a need for general session room that can accommodate 150 attendees. All rooms need to be free of obstructions and limited views. The General Session room must be able to accommodate a U Shape configuration for up to 40, mix of classroom and theater seating around the perimeter and room for a translation booth as well as a rear projection A/V suite. The General Session room will require patching into house sound. Additionally, conference organizers require a conference foyer with limited access by non-attendees during pre-conference registration and conference sessions, a support room that is adjacent (within 75 feet walking distance) to the general session room, two break-out rooms, one of which is a room for meals preferably on the same floor as the General Session room, and a room specifically set for prayer for those of Islamic faith also preferably on the same floor as the General Session Room. The conference wants to hold a social the night of 19 or 26 Apr 2016 depending on week of the conference and prefers a room with a view that is not a traditional meeting room on the hotel property for approximately 100 attendees. Hotel will provide: • Required conference rooms 1 Ea General Session Room - 3 days - GS Room 150 person capacity (3 days), in a U shape configuration with max 40 attendee seating 19 Apr - 21 Apr 2016 or 26 Apr - 28 Apr 2016 depending on week of conference. Room must also be able to fit rear projection video gallery; seating on three sides as well as room for a translation booth and twice per day break service, (Breaks to be provided outside GS Room). Note 19 or 26 April 2016 is set up day for rehearsal and no breaks nor set on that day. Foyer in front of General Session Room should be large enough to have the morning and afternoon breaks. Breaks will not be inside the General Session Room and must be within 50 feet of the General Session Room.
