Description
Sole Source Justification Notice of Intent SmartPark Six Month Testing Statement of Work 6-Month Testing Tasks Gannett Fleming shall provide the following services for a 6 month testing period: •· Daily Calibrations - GF will perform one daily correction/calibration to maintain the accuracy of the Mile 23 and Mile 45 SmartPark systems •· Software Support - GF will perform remedial and preventative maintenance on the traveler information media and system support software programs that support the SmartPark system, including the IVR, Mobile Application, Management Website, Public Website, and Dynamic Message Sign software. This will also include work to transition the existing databases and source code from GF facilities to TDOT, if they opt to keep the system. •· Repairs - GF will make up to one in-person trip to the site per month to make necessary repairs. •· Reparative Equipment - GF will purchase the necessary reparative equipment to troubleshoot, address, and repair field equipment. •· Utilities - GF will continue to pay for all utilities to operate both the Mile 23 and Mile 45 sites. This includes communications, data center rentals, software licenses, and fees associated with all traveler information media services. •· Administrative - GF will provide FMCSA & TDOT with reporting on a monthly basis regarding the status of the system. One-Time Transition Tasks If, at the conclusion of the six-month testing period TDOT formally accepts the system, Gannett Fleming shall perform the following handover/transition services: •· Trainings - GF staff will perform two trainings for TDOT staff or for staff as directed by TDOT. Trainings will include materials and in-person visits. •· Operations & Maintenance Manual - A manual will be produced that outlines the daily, monthly, and semi-annual processes and procedures necessary to maintain and operate the system. Processes include the daily calibration steps, preventative maintenance for the sensors, preventative and reparative maintenance for the cameras, and others. The manual will include common issues experienced during the pilot and ways to troubleshoot them. •· Operational Support Period - For a period of three months GF will offer access to remote personnel to answer questions TDOT may have and to help them troubleshoot software issues. That cannot be handled by their internal IT personnel. One-Time Removal & Disposal If, at the conclusion of the six-month testing period TDOT opts not to keep the system, Gannett Fleming shall remove and dispose of the following pieces of equipment at both Mile 23 and Mile 45 sites: •· DMS - all four DMS will be taken down and disposed of, including the sign structure, the DMS insets, the foundations, and the cabinets •· Cameras - All cameras at both sites and their associated cabinets •· Servers - All computers and servers will be removed from the site including their racks and supporting power and communications equipment •· Detectors and Gantries - Detectors and related supporting equipment will be removed. The four gantries currently holding the ingress and egress detectors will be removed. •· Wood Poles - Only the four wood poles at the ingresses and egresses of the sites will be removed. All other poles will remain, as they support lighting fixtures.
