Description

Questions About Maintenance on Purchased MFDs: What is the difference in the cost structure for a purchased MFD with a maintenance plan for 1, 2, or 3 years that would be purchased concurrently with the MFD versus optional pricing for the maintenance for year 2 and/or year 3? Will Contractor bid maintenance plans for each of these timeframes? Are there different maintenance plans for purchase similar to lease (e.g., full service -vs-_ full service with supplies)? Please provide a brief description of the service provided in the maintenance plan. What is the impact, if any, of buying supplies (OEM or non-OEM) from a third party on a maintenance agreement for a purchased MFD? Will the maintenance include relocations within a given facility/campus? Is this part of a standard maintenance agreement? Questions About MFD Leases: What are the typical lease lengths (1, 2, or 3 year) or are there other typical lease intervals? Is one year a viable lease term? Is the option to buy provided on all leases? What is the impact of leasing an MFD with the option to buy at the end-of-the-lease? What is the purchase cost at the end of each lease period (1, 2, 3 years or other typical intervals)? Please describe the difference between full-service maintenance and full service maintenance with supplies in a lease arrangement? What would be the cost differential between an operating lease versus lease-to-buy? What other type of lease pricing variations are available (e.g., per page/month/year, usage)? For each pricing variation: "What are the usage breakpoints? "How are overages normally priced and when is payment due (month, quarter)? "Do you allow for month to month rollover in maintenance and/or leases? What are the advantages/disadvantages for the following price structures under the assumption that this will all be priced on the base contract: "Variable monthly pricing based on usage? "Fixed monthly price based on fixed usage? "Budget monthly pricing with end of year true-up? What is the Cost calculation of early lease termination: "Is it similar to GSA? "Are there other arrangements options available? How many relocations are allowed within a given facility/campus? Is this part of a standard lease and/or is this covered under a specific maintenance agreement? Would it be possible to consider rollover/shared volume savings by campus/facility, region or order? What is the impact, if any, of using supplies (OEM or non-OEM) from a third party on a lease agreement? Questions on Managed Services: What are the differences and pros and cons between a lease and managed service? How would managed services be priced (e.g.., by month, year, location, other)? What is the standard industry price difference between a lease and managed services? General MFD Questions: Is leasing a viable option for each of the twelve categories in this RFI? If not, are there specific categories that are viable for lease options? Is maintenance a viable option for each of the twelve categories in this RFI? If not, are there specific categories that are viable for maintenance options? As an authorized reseller can you provide capability statement to support your ability to provide all of the maintenance and leasing nationwide? Can you provide Managed Services nationwide? As a small business, how do you plan to distribute the labor in order to meet the requirements for a small business set aside? If you cannot provide all maintenance, leasing or Managed Services what portion can you provide? As an OEM, will you provide pricing/services directly to the VA? What services normally fall under the maintenance portion of the agreement? What services normally fall under the lease portion of the agreement? Do prices vary by geographic location for purchase, lease or maintenance costs? What would be the most cost effective breakout of regions? Is maintenance pricing separated by color and black & white usage? Due California's electronic waste recycling fee, should California have its own pricing arrangement? What is the cost range for our 12 categories? Questions on Historical VA MFD Data: Based on your companies sales history to VA, what are the total MFD costs for lease and timeframes for each MFD category? In addition, can these category costs be broken down by geographic location e.g., VISN? Do you have MFD usage numbers for devices you have provided (lease or purchase) to VA? Can the usage numbers be broken down by model, facility, and/or geographic location (e.g., VISN)?
