Description
Department of Veterans Affairs Veterans Health Administration Sources Sought Notice - Standard maintenance and support contract for the MOSAIQ System This is a Sources Sought notice and not a request for quotes. This request is solely for the purpose of conducting market research to enhance VHA's understanding of your company's offered services and capabilities. The Government will not pay any costs for responses submitted in response to this Sources Sought. This Sources Sought notice provides an opportunity for respondents to submit their notice of ability in response to the requirement described below. Vendors are being invited to submit information relative to their potential of fulfilling the requirement below, in the form of a capability response that addresses the specific requirement identified in this Sources Sought. The Veterans Health Administration (VHA) is seeking a vendor to provide Standard maintenance and support contract for the MOSAIQ System. Refer to the General Requirements section below for the requested service description. This Sources Sought is to facilitate the Contracting Officer's review of the market base, for acquisition planning, size determination, and procurement strategy. GENERAL REQUIREMENTS Purpose To Maintain and service the IMPAC products including the MOSAIQ System located in the Radiation Therapy Service located at the Jamaica Plain Campus. Scope Standard Maintenance and support contract for the IMPAC products associated with the MOSAIQ system located at the Jamaica Plain campus. This service includes the following IMPAC products: IQ Server 1 MOSAIQ Procedure Management 1 MOSAIQ Resource Scheduling 20 MOSAIQ 1 MOSAIQ RO 12 MOSAIQ Setup Intelligence 1 MOSAIQ IGRT Connectivity to Siemens IGRT 1 Interface to Siemens Linac 1 Interface to Siemens Linac MLC 1 Connectivity to Cone Beam 1 Connectivity to Siemens MLC (TBD) 1 Connectivity to Brain Lab MLC (TBD) 1 Non-Dicom EPID Interface to Siemens 1 Connectivity to DICOM RT Philips (TBD) 1 Connectivity to DICOM RT BrainLab iPLAN 1 Multi-Access / Mosaiq On-Site Training 15 ESI: Implementation Services 20 Microsoft SQL Server Standard Edition 1 Microsoft SQL Server User CALs (STD/ENT) 20 Under the Hood RO Class 1. Service for one year term includes: Software upgrades: at least one major upgrade each year with significant feature enhancements working with IT at customer site and typically performed remotely. eFACTS Service Bulletin Service Alerts Telephone support Monday through Friday 8am-5pm local time. Email support Users meetings Regional Community Program Online Support-support plus (24 hours a day, 7 days a week) including My IMPAC, Software updates, Documentation Library, Knowledge Base, online Demonstration System, Training Videos, Online Template Sharing, Support FAQS and Product Suggestion form. Contract Objectives 1.Equipment specified is maintained and kept in operational status throughout the life of the contract. 2.Equipment is free from any defects 3.Equipment requires no significant repairs as a consequence of performance of the task of this contract. 4.Contractor must have proven access to original equipment, manufacturers (OEM) parts manuals and schematics to perform the service. 5.Contractor must provide their own EOM manuals and schematics, which must be available on site at time of service. 6.All defective parts replaced become the property of the vendor. 7.Ensure all operators are trained on equipment Contractors Tasks 1.Maintain Specified tasks listed under Scope. 2.Ensure all specified equipment is operational for safe use. 3.Ensures all Replacement software includes site-specific adaptation present in originally delivered software. 4.Ensure all services are reported to Biomedical Engineering upon arrival. Government Responsibilities 1.Assigning Contracting Officer Representative (COR) for this Contract 2.Assuring that the COR provides prompt response to the vendor 3.Provides details on the current condition of the equipment 4.Provides an individual to oversee work to be done 5.COR authorization for any work or parts outside the scope of this contract must be received prior to performance Notes: 1. This Sources Sought is for planning purposes only, and does not constitute a commitment, implied or otherwise, that a procurement action will follow. The Department of Veterans Affairs will use the information submitted in response to this notice at its discretion and will not provide comments to any submission; however, The Department of Veterans Affairs reserves the right to contact any respondent to this notice for the sole purpose of enhancing The Department of Veteran Affairs understanding of the notice submission. 2. The content of any responses to this notice may be reflected in any subsequent solicitation, except for content marked or designated as business confidential or proprietary which will be fully protected from release outside the government.
