- It is anticipated that this requirement will be solicited and awarded as a Labor-Hour type contract. The main objectives of the project are to create and implement a modern methodology to clean, evaluate, and migrate Packard Campus audio and video preservation, discovery, and authority metadata; to improve and maintain the functionality and integrity of multiple local metadata repositories (with the ultimate goal of eliminating separate metadata silos); to fully and clearly document data cleaning and migration processes and procedures; to provide automated data migration scripts or applications; and to provide user training to the PCAVC staff. At a minimum, the following activities are essential to the success of this project and should appear in the proposal with the accompanying description of proposed work and deliverables. Additional proposed deliverables, deemed necessary to fulfill the objectives of the project, are welcomed and encouraged. • Collaborate with PCAVC management and stakeholders to identify and document business processes and develop a semi-automated methodology for easy data cleanup and migration between the databases utilized within the Library - ILS, SONIC/STAR, and MAVIS. This methodology should apply to metadata stored in locally created and donor-contributed Access databases, Excel spreadsheets, MS Word and WordPerfect files. • The developed methodology should allow for minimal human interaction throughout the process and should allow for easy verification of the resulting data. • Propose, develop, and/or modify tools for implementing the proposed data cleanup and migration methodologies. The proposed tools may consist of COTS as well as proprietary or modified COTS. Open source tools are strongly preferred. • Create testing plan with concomitant test data and test scripts in order to ensure consistent performance of proposed solutions. • Create scripts or applications which allow PCAVC staff to use the aforementioned tools in an automated fashion. • Create scripts which will integrate with the Packard Campus Workflow Application for the automated creation of MAVIS records. • Perform "proof of concept" demonstrations using the proposed tools and methodologies. Evaluation criteria for the methodologies should include but are not limited to:  Migration performance  Data accuracy  Data consistency  Ease and flexibility of use  End to end solution  Speed and efficiency • Provide training and implementation support. • Collaborate with PCAVC management and stakeholders to identify and prioritize collections to be cleaned and/or migrated. • Create a schedule for data migrations and cleanup. • Perform data migration and data cleanup based on stakeholder priorities and approved schedule. • Create all appropriate project management and technical documentation, contractually required deliverables, and other documentation in support of all project tasks. • Provide quality control to the requirements gathering, design, implementation, integration, and testing processes throughout the entire lifecycle of the project. All project deliverables consisting of text, spreadsheets, diagrams, and Gantt Charts should be provided in Microsoft Office 2003-compatible format. Scripts or application source code should be in Java, Groovy, or Python. All documents should be stored at all times in the LC/MBRS document repository and should comply with all Library standards. Any tools, code, scripts, or applications must be maintained within Library source control. Success in these objectives will help the staff at PCAVC reach the strategic goal of the Library to efficiently provide audio and video discoverability, conservation, and preservation services to its clients.
