Description
Information regarding the Pre-Proposal Conference to be held December 7, 2012 at 1:00 PM EST NOTICE OF PRE-PROPOSAL CONFERENCE: 1.1 A pre-proposal conference will be conducted on Friday, December 7, 2012 at 1:00 PM Eastern Standard Time for the purposes of briefing on the proposal requirements and answering questions regarding the solicitation. This conference will be held at Bldg 725 JSTEC Auditorium, Camp Atterbury, IN 46124. Interested Contractors are highly encouraged to attend the pre-proposal conference. The site visit will be held following the conference. 1.2 Due to security conditions, all offerors MUST REGISTER to attend this conference and site visit NO LATER THAN 1:00 PM EST, Tuesday December 4, 2012. Email the following information for ALL attendees to Erica Copeland and Sheri Herrin at all the following THREE email addresses: int-nginuspfopcmatoc@ng.army.mil ; erica.t.copeland2@us.army.mil and sheri.herrin@us.army.mil Company Name All attendee names 1.3 This information MUST be provided in advance, not later than 3 business days prior to the meeting, by 1:00 PM EST, Tuesday December 4, 2012, in order to ensure access to the military base and conference site and ensure adequate seating for the conference attendees. Even if you have access to the base you must register to ensure adequate seating. The furnishing of the above information is voluntary; however, your failure to furnish all or part of the requested information may result in the Government's denial of your access to the pre-proposal conference. This information will be provided to the Base Security Forces who will authorize your entrance to the base. Pre-registration by this deadline, will allow you to go directly into the main gate, where you will present a valid form of State or Federal Identification, give your company name and your name to be checked off the pre-approved roster. If you do not have a valid form of ID, you will not be allowed on post even with pre-registration. 1.4 If you do not pre-register by 1:00 PM EST, Tuesday December 4, 2012 you will be required to pick up a pass at the Installation's Welcome Center at the Main Entry Gate prior to arrival. You will be required to present the following information upon arrival: (1) Current Vehicle Registration, (2) Valid Drivers License, (3) Proof of Insurance for Vehicle, (4) Car Rental agreement if applicable (5) POC for the Welcome Center to call and confirm: Erica Copeland, Sheri Herrin, or SGM Tim Whitman Any of the above information furnished by you is protected under the Privacy Act and shall not be released unless permitted by law and/or you have consented to such. *****NOTE: If you are missing any of the Vehicle Information you WILL NOT be allowed to drive on post and if you are missing a valid form of State or Federal Identification you WILL NOT be allowed on at all. It does take time to register each person (sometimes upwards of 30 mins each if a vehicle is also involved). If you try to enter base without pre-registration make sure to allow yourself plenty of time to get through the Welcome Center and remember that there may be a vast number of others trying to get on post at the same time, which could cause significant delays. The meeting will start on time. PRE-REGISTRATION IS KEY! 1.5 Information provided at this conference or site visit shall not qualify the terms and conditions of the solicitation and specifications. Terms of the solicitation and specifications remain unchanged unless the solicitation is amended in writing. If an amendment is issued, normal procedures relating to the acknowledgment and receipt of solicitation amendments shall apply. 1.6 A record of the conference shall be made and furnished to all prospective offerors via posting to our web site at https://www.fbo.gov. The record will include minutes of the meeting, including questions (on a non-attribution basis) and answers. 1.7 Entry into Bldg 725: While we want you to make sure you allow plenty of time to enter post and find the building, you will need to stay out of the building until 12:40 PM EST due to the auditorium being in use prior to our meeting. At 12:40 PM EST you may enter the building to sign in and take a seat for the meeting. 1.8 Directions to Bldg 725 are as follows: Enter Camp Atterbury Main Gate entrance, after clearing security checkpoint, proceed around "S" drive and through "Clamshell" shelter. Turn right (west) at the second street past shelter (Headquarters Road). Continue approx 0.4 miles on Headquarters Road to the second 4-way stop (Gatling Street). Turn left (south) on to Gatling St. and continue south approx. 0.6 miles and through gated entrance. Immediately turn right (west) past gate on to 22nd Street and proceed approx. 300 ft. past first parking lot and building 725 to the second parking lot on the left. You have arrived at the Building 725 parking area. Building 725 (JSTEC) building's main entrance is on the west side of the building and is east of this parking lot. IMPORTANT FACTS TO REMEMBER FOR THE CONFERENCE: DATE: Friday, December 7, 2012 TIME: 1:00 EST (you may enter the building no earlier than 12:40 PM EST) LOCATION: Camp Atterbury, Bldg 725 JSTEC Auditorium PRE-REGISTRATION DEADLINE: Tuesday, December 4, 2012; 1:00 PM EST POC EMAILS: int-nginuspfopcmatoc@ng.army.mil ; erica.t.copeland2@us.army.mil and sheri.herrin@us.army.mil REMEMBER!!!! There will be multiple activities going on base that day, give yourself plenty of time to get through the front gate and to Bldg 725. If you do not pre-register, the earlier you get here the better to ensure you make it to the meeting on time. The meeting will start promptly at 1:00 PM EST. Entry into Bldg 725 can begin at 12:40 PM EST. Waiting in the parking lot until entry time is acceptable. DO NOT FORGET YOUR GOVERNMENT ISSUED PHOTO ID.
