- Intelligent Mail Data Acquisition System (IMDAS) Program - Handheld Device Repair Services Certification Requirement: ISO 9000 Quality Management Systems, Lean Six Sigma, or comparable. Synopsis: The United States Postal Service (USPS) issues this Sources Sought to seek potential offerors for the support of the Intelligent Mail Data Acquisition System (IMDAS) Program, including support and repair of the Intelligent Mail Data (IMD) devices as well as hardware maintenance for IMDAS devices. The current inventory includes two proprietary scanner models: Motorola HC700 and Motorola RS-507. This synopsis does not constitute a Request for Proposal. This is not a solicitation announcement. No contract will be awarded from this announcement. 1.0 Hardware Maintenance and Support The vendor shall have dedicated technicians to repair and provide support to IMD devices. The vendor shall provide shipment of repaired equipment directly to the USPS Critical Parts Center (CPC) in Topeka, KS, using the prescribed shipping method designated in the monthly maintenance program specifications. The vendor shall provide storage and inventory of IMDAS equipment until they are shipped to the CPC. The vendor shall provide Beyond Normal Repair (BNR) repair as for all equipment identified as BNR. The vendor shall provide support in the following areas: 1. Device Repair/Replacement including Fault Analysis and Diagnosis 2. Inventory Control 3. Service Level Agreement (SLA) 4. Provide a monthly maintenance report on maintenance activities performed on the devices 5. Hardware Troubleshooting 6. Inventory Control 2.0 Technical Requirements/Connectivity The vendor shall provide support in the following areas: 1. Disaster Recovery 2. Performance and Storage Monitoring a) Deliverables associated with USPS Critical Parts Center (CPC) b) Deliverables associated with Repair Engine Access 3.0 Program Management The vendor shall support the USPS Program Management Office (PMO) in the associated areas of program management, cost & schedule control reporting, Change Control Board (CCB) meetings and monthly Technical Review Meetings (TRM). Vendor support shall include but not be limited to conducting meetings, conference calls or send status report via email. 4.0 General Requirements 4.1 Monthly Progress Report A monthly progress report shall be submitted to the contracting officer. The progress report shall contain but not be limited to the following information: 1. A brief summary of work accomplished during the reporting period 2. A discussion of any problem areas encountered during the reporting period. This discussion shall include the vendor's proposed recovery plan. 3. A discussion of the vendor's planned accomplishments during the next reporting period. 4. Identification and status of all open action items and deliverables (USPS and vendor). 5. Provide monthly labor and material cost forecasting and projected spend plan for the current fiscal year. Firms responding to this Sources Sought Notice are requested to provide USPS all appropriate documentation (i.e., a detailed capability statement and/or relevant past performance history documenting its ability to perform similar repair and maintenance requirements). In addition, your capability statement and/or relevant past performance history should: Identify appropriate levels and types of expertise in a manner that demonstrates its understanding of the requirements of the Intelligent Mail Data Acquisition System (IMDAS) Program, including support and repair of the Intelligent Mail Data (IMD) devices as well as hardware maintenance for IMDAS devices.
