- Sources Sought - This is a SOURCES SOUGHT NOTICE. This is NOT a solicitation for proposals or quotes. General Statement of Need The purpose of this Notice is to obtain information regarding: Scope of Work for Janitorial Services at the Berlin Vet Center Contractor shall provide janitorial and cleaning services at the Vet Center, located at 515 Main Street, Suite 2, Gorham, NH 03581. 1. Areas to be serviced: Outside/inside entrance doors, lobby/reception area, hallways, all general offices, conference room, group room, kitchen (to include floor counter sinks), and restrooms. Total area to be serviced is approximately 3000 sq ft. 2. Cleaning Schedule 2 per week for 3000 area : a.During each visit: 1.Empty trash in all areas and replace liners. 2.Clean and disinfect all rest rooms to include sinks, counters, toilets, and floors. 3.Replace/refill all Vet Center provided cleaning supplies, toilet tissue, hand towels, soap/lotion, cleansers etc. ( All extra supplies will be kept in the supply room) 4.Sweep and wet mop all non-carpeted floors with hospital approved disinfectant. 5.Vacuum all carpeted areas. 6.Dust all horizontal surfaces including but not limited to: desks, filing cabinets, window ledges, phones, conference tables, and coffee tables. 7.Spot clean all wall defacements. 8.Wash the inside and outside of windows in reception area. 9.Remove all cobwebs in all areas 10.Clean all floor mats and entries. 11.Clean and disinfect kitchen counters and sink. b.Quarterly: (December, March, June and September) 1.Clean the inside of all windows. 2.Clean and sanitize all telephones. 3.Clean all ceiling light fixtures, removing the plastic covers and cleaning away all debris (dust, insects, etc). 4.Vacuum all fabric type furniture. 5.Clean the base of all rolling chairs with soap and water to remove accumulated dirt and grime. c.Semi-Annual: (To be scheduled for performance once each April and September) 1.Clean the inside and outside of all windows. 3.Performance Hours: All work is to be scheduled and coordinated with Vet Center Manager, prior to commencing. All work to be performed between the hours of 4:30pm and 7:30 am Monday through Friday, unless otherwise scheduled with the Vet Center Manager. NOTE: The Vet Center reserves the right to limit, or otherwise reschedule access to the site for cleaning to allow for meetings and/or other previously unscheduled events. Forty-eight (48) hours notice will be given to the contractor for all unscheduled events. 4.Common Use Items: The Vet Center will provide paper towels, toilet tissue, trash bags and liquid soap only. Any other supplies and or equipment needed related to the cleaning of the space are to be furnished by vendor. 5.Payment: Contractor will perform the work as described above. Payments will be made monthly in arrears upon the successful completion of the above listed requirements and the receipt of a properly prepared invoice in the designated receiving office. 6.Cancellation: The Government may terminate, or remove any part of the work, from this agreement with thirty (30) days prior written notice to the contractor. 7.Security Requirements: The Contractor will properly lock and verify that all entrances into the facility where contracted service are being performed are secure and all alarm systems are activated when exiting the premises. Contractor will be responsible for all breaches of security and losses due to improper adherence to security requirements. 8.Type of Contract. A Firm- Fixed Price, Small Business set-aside Contract is anticipated for this effort. THIS IS STRICTLY MARKET RESEARCH THAT WILL ASSIST THE DEPARTMENT OF VETERANS AFFAIRS, VISN 1 PLAN THEIR ACQUISITION STRATEGY. This is NOT a Request for Proposals (proposals will not be accepted at this time) and does NOT constitute any commitment by the Government. Responses to this Sources Sought Notice will be used by the Government to make appropriate acquisition decisions. The information based on responses to this notice solely within the discretion of the VA. All interested sources must respond to future solicitation announcements separately from responses to this market research/Sources Sought Notice. Responding small businesses should have an active SAM registration, DUNS number and up to date ORCA registrations. The NAICS code for this service is 561720, size standard is 16.5 million. All interested vendors must respond by August 31, 2012 by 5PM EST.
