Description
The National Science Board Office (NSBO) supports the work of the National Science Board (Board). One of the important and vital roles of NSBO is to serve as repository and unofficial archivist of documents and records of Board decisions, actions, policy statements and reports on national science and engineering policy issues. The NSBO also utilizes these documents and records to conducts extensive research and as well as to prepare written documents as directed by the Board. Because these records and documents are maintained in various formats, accessing, locating and managing information for research purposes is a challenge. The NSBO is seeking to identify current sources in the market place that could assist it with analyzing and determining the best approach or approaches to addressing and resolving this challenge and to find out if or what type of application solution or solutions already exist or would need to be developed to address it. The (NSBO) is issuing this Request for Information (RFI) to identify potential market sources and to obtain industry capabilities information as part of its market research. Responses should include a Capability Statement (5 pages or less). This Capability Statement should provide relevant information on the company, as well as a description of recent or relevant projects similar to the one described in the Draft Performance Work Statement below, and indication of whether the firm has a commerically available system that provides these capabilities. Draft Performance Work Statement NSBO is seeking to determine the best design and structure for a perpetual on-line Records, Document and Information Management System for managing and preserving National Science Board (NSB) records and documents. Potential structures and strategies proposed in response to this RFI should include an architectural and proof of concept (prototype) design of such a information management system that incorporates the following requirements: • Serves as a one-stop archival repository and retrieval system for all official and designated non-official NSB records and documents; • Is easy to use, and has robust search and retrieval capability from a single, authoritative source; • Is easily maintained and can be administered by a designated NSBO staff system administrator(s); • Provides the ability to easily associate metadata, tag documents by category, document number, etc. • Provides the ability to sort by various indexed categories; • Builds on and interacts seamlessly with the National Science Foundation (NSF) and NSBO existing Sharepoint solutions framework and is compatible with existing NSF IT infrastructure; • Standardizes document and content naming conventions and ensures indexing consistencies across document types; • -Integrates other NSBO and NSF information management systems where appropriate; • -Imposes industry best practices for managing records, documents and information to ensure the perpetual/long-term access, maintenance, preservation, and recovery of records, documents and information; • -Adheres to current principles and industry standards used to manage large volumes of records, documents and information; • -Manages electronic and paper images to ensure data preservation for future references and historical purposes with a focus on consistency and quality; • -Is flexible to meet the evolving information management needs of the NSBO and its staff; • -Insures that the system's functionality and features are designed to support the varied needs of NSBO staff members; • -Supports the retirement of documents designated as "official records" mandated by NSF and NARA.
