Description
The Department of Veterans Affairs is seeking information about available sources capable of providing Document Shredding Services for the Oklahoma City VA Medical Center, subsidiaries and clinics throughout Oklahoma including, Ardmore, Lawton and Stillwater. If a solicitation is issued it is anticipated to be for a base year with four one-year option periods. The goal of this RFI is to conduct market research to explore the technical aspects of the available products to meet this requirement. The Government is seeking industry input to assist in identifying features and solutions to meet the requirements described below. Please note that the Government will NOT be responsible for any costs incurred by interested parties responding to this RFI. THIS IS A REQUEST FOR INFORMATION ONLY. This RFI is issued solely for information and planning purposes and does not constitute a solicitation. The contractor shall provide all personnel, equipment, tools, materials, vehicles, supervision, and other items and services necessary to perform collection, and on-site shredding of paper materials. The Contractor will be certified by the National Association for Information Destruction. The contractor shall perform to the standards in the contract as well as all local, state, and federal regulations. Paper materials will be defined as any type of paper used in an office environment, such as copy paper, brochure paper, newspaper, coated stock, slick magazine-type paper, envelopes, computer paper, any type of note paper, manila folders, and hanging folders. Destruction techniques may include but are not limited to all of the following: shredding, pulverization, disintegration, purging, pulping and incineration. ADDITIONAL INFORMATION: In response to this RFI, respondents shall submit written responses, not-to-exceed ten (10) pages in length via electronic mail as well as oral presentations to government stakeholders. Product specification, sketches, or listings of authorized distributors are not to count as part of the page count. The Government is interested in receiving vendors' commercial published price lists for items they believe meet the need in this RFI. Supplying price data does not imply a contractual obligation and must be provided as a separate document, marked as PRICE DATA, and sent only to the contracting officer identified below. - The Government does not intend to award a contract on the basis of this request or to otherwise pay for the information solicited. All information received in response to this RFI that is marked PROPRIETARY will be handled accordingly. The Government will not release any information about your approach that might in any way compromise your competitive posture or proprietary information. The Government will not be liable for or suffer any consequential damages for any proprietary information not properly identified. Proprietary information will be safeguarded in accordance with the applicable Government regulations. Responses to this RFI will not be returned. Respondents will not be notified of the result of the review. - Failure to respond to this RFI does not preclude participation in any future associated RFP/RFQ that may be issued. Information provided in no way binds the Government to solicit or award a contract. HOW TO RESPOND: Please submit your written response to this RFI (not to exceed 10 pages) via email no later than 5:00PM CDT, Wednesday April 11, 2012 to the following individuals: Leanna Eversmeyer, Contracting Officer, email: Leanna.Eversmeyer@va.gov. Oral presentations will be scheduled for Thursday, April 12, 2012 from 9:00a.m to 3:00 p.m. CDT at the Oklahoma City Network Contracting Office 16, 720 NE 13th St., Allergy & Asthma Clinic, 2nd Floor, Oklahoma City, OK 73104. Telephone responses will be accepted to establish presentation time only by calling 405-456-1896. Oral presentations will be limited to 30 minutes. Responses should provide company name, address, point of contact, telephone and fax number, business size and socioeconomic status if applicable (i.e. Service Disabled Veteran Owned Small Business (SDVOSB), Veteran Owned Small Business (VOSB), Women-Owned Small Business (WOSB), etc.), and must include a capability statement that addresses the organizations qualifications and ability to perform as a prime contractor for the work described. Respondents should include which locations that can be serviced if they are not capable of providing service to all locations. Respondents with current GSA contracts should indicate so. Telephone inquiries will not be accepted. This notice is to assist the VA in determining sources only. A solicitation is not currently available. If a solicitation is issued it will be announced at a later date, and all interested parties must respond to that solicitation announcement separately from the responses to this announcement. Responses to this sources sought and exchanges with industry is not a request to be added to a prospective bidders list or to receive a copy of the solicitation.
