- Air Force District of Washington Contract (AFDW Contracting) is in the process of determining the acquisition strategy for a potential requirement for AF/A1SA Caring for People Conference (Washington D.C. 2012). Air Force District of Washington contracting is conducting market research for the Caring for People Conference lodging and conference space. We are looking for a small business that can provide support for the Caring for People Conference. The period of performance is any 3 consecutive weekdays between 30 July and 17 August 2012; ideally 7, 8, 9 Aug 2012. The potential location for this requirement will be less than a 2 mile radius from the pentagon, located in Arlington, VA, immediately west of the Potomac River and in Crystal City. Potential sources shall provide a capabilities package that clearly demonstrates an ability to perform the following specific and relevant experience and expertise with an acceptable level of quality within cost, schedule, and performance metrics: a. Lodging availability in support of the Air Force Caring for People Conference. b. Hotel rooms must be available for 3 consecutive days between 30 July and 17 Aug 2012. c. (Best dates: 7 Aug through 9 Aug 2012) If there are alternate dates available at your location, please provide dates in your response. d. Room availability is subject to accommodate 230 participants; e. Lodging for all attendees shall be within the same hotel as the conference space. f. Conference space for all attendees and guest speakers should be within the same hotel; g. The hotel should be within easy walking distance of dining facilities or provide shuttle service; h. Hotel support facilities should have parking lots/garages and free WIFI i. Hotel shall be able to provide coffee, continental breakfast and an afternoon snack for 230 personnel each day j. 11 breakout rooms, each able to accommodate 30 -35 personnel "round" table style k. 1 Large conference room able to accommodate 275 personnel "classroom" style l. 1 Large room dedicated for exhibits / information one day only; 2nd day m. Designated registration area day before and of conference n. Contractor shall provide audio visual and information technology services for conference equipment; o. Audio services should include but not limited to the following: p. Audio personnel provide the necessary equipment Large Conference Room q. 2 LCD projectors w/ screens r. 3 Microphones (1 podium, 2 Lavaliere wireless) s. Raised stage in front of room t. 15 tabletop microphones with on/off switch u. Ability to show PowerPoint presentations on screens v. Small stage in back of room for videographers etc. w. Lighting for video recording Breakout Rooms (11) x. LCD projector w/ Screen y. Easel z. Ability to show PowerPoint presentations on screens aa. Lavaliere Microphone A/V Support bb. AV Technician are on call for repair or assistance purposes cc. Information Technology services should include but not limited to the following: dd. Provide technical evaluation on equipment before disbursing for customer use. ee. Informational guidance about IT equipment utilization. ff. Rigging Services gg. Electrical Services NAICS Code (721110) is applicable to this effort. We are seeking information and comments from industry on technical capabilities and acquisition strategy, specifically small business. Therefore include the following information in your response: 1. Women-owned These services are commercial in nature and we are soliciting beneficial commercial practices and terms and conditions for consideration. The Request for Information synopsis is not a request for proposal. It is a market research tool being used to determine procurement strategy. Appropriate procurement strategy will be determined after consideration of industry response to this sources sought synopsis. The government is not obligated to, and will not, pay for any information received from potential sources as a result of this synopsis. Contractors interested in providing services should submit a capabilities statement on or before January 25, 2012.
