Description
Centralized Scheduling System The Department of the Navy, Commander Navy Installation Command (CNIC), Fleet & Family Readiness Support Service Center intends to contract to provide a comprehensive Centralized Scheduling Service. This contract will be awarded using Non-Appropriated Funds (NAF). - The Government is anticipating a sole source award resulting from this announcement. - Award will not be made to any vendor who is not CCR registered. Commander, Navy Installations Command (CNIC) requires a comprehensive centralized scheduling service which provides a call center for service members, dependents, and commands to contact for scheduling implementation across the FFSP enterprise for increased efficiency and continuity. This requirement necessitates the contractor provide, implement and host a web-based scheduling service capable of collecting metrics and future system expansion. In order to meet this requirement the contractor shall provide the following scheduling services: • Real time appointment scheduling services for up to 1500 users. • Scheduling service and metrics collection for 20 OCONUS and 59 CONUS sites. • Rules based and scalability procedures for location of appointment, duration of appointment based on type of appointment (i.e., Recurring Appointments: 1 hr or Intake Appointments: 1.5 hrs) and staff availability. • First available appointment opening by type of appointment, site and/or requested staff member. • Reminder service capabilities for all appointments & class registrants (by e-mail, phone or text option) • Condensed demographic database for client information (to include at a minimum client name, phone, e-mail, location of service requested, reminder service option and other/remark section) • Ability to provide e-mail to clients upon scheduling initial appointment with a link to "new client paperwork" to complete prior to appointment. • Provide event scheduling (Classes, Seminars, and Workshops) by scheduling team or self-registration. Includes capability to enter unique class information (i.e., name of event, date/time, location, number of attendees, eligibility, class cutoff date, registrant reminder service via phone/e-mail/text service, and other/remark section). Registration information shall include: name, rank, command, phone, and e-mail address. • Provide check-in and check-out mechanism for FFSP staff to document service delivery time with clients. Customized coding to include coding for six FFSP Programs (Clinical/FAP, Work & Family Life, Sexual Assault and Prevention Response, Domestic Abuse Victim Advocates, New Parent Support Home Visitation Program & Education Services Facilitators). - All offers should be submitted on the solicitation form (SF 33) and are due by 5 October 2011. The Offeror may submit the initial Offer by the closing date and time via email, the proposal must be signed and a PDF copy must accompany the submittal offer. The technical and price/cost volumes must be submit in separately sealed envelopes within a seal package and be clearly marked with solicitation number. The technical volume must have a table of contents. Do not include any price/cost information in the Technical Proposal Volume. - Thoroughly read and review the solicitation and statement of need when preparing your proposal. Hardcopy Offers and modifications shall be submitted in sealed envelopes or packages addressed to the office specified in the solicitation, and show the time specified for receipt, the solicitation number, and the name and address of the offeror. Offers sent via US mail shall be delivered to the address in block 7 on page 1. Offers hand delivered or sent via courier, i.e. FedEx, UPS, DHL, etc., must be sent to: Commander Navy Installations Command Millington, 7736 Kittyhawk Avenue, Bldg 457, Millington, TN 38055.
