- THIS IS A REQUEST FOR INFORMATION, THE ACTUAL SOLICITATION WILL BE POSTED IN FY 2012. THIS IS A SMALL BUSINESS SET ASIDE OBJECTIVE The National Science Foundation (NSF) intends to procure meeting space, sleeping rooms, food, refreshments, and audio visual equipment of a high-quality facility for the 3.5 day Tri-Agency Climate Change Education Principal Investigators Meeting to be held during one of the following periods: April 16-19, 2012; April 23-26, 2012; or, May 14-17, 2012. The meeting space will be required only in the evening on Monday; the meeting space will be required only in the morning on Thursday. The facility must be located within a radius of 15 miles centered on the Washington Metropolitan Area and within a 10 minute walking distance from a Metro station. MEETING SPACE REQUIREMENT: The facility must provide the following spaces: One (1) large general session meeting room that can accommodate up to 300 attendees when configured for a banquet set-up on all meeting days. This large session meeting room requires 25-28 banquet round tables with 9-10 adjustable/rolling chairs per table. The same meeting room must be available each day, and after meeting hours access is required. One (1) large exhibit hall that can accommodate a reception on the first night (Monday) and a poster session on the second and third days of the meeting. The space must be large enough to hold seventy-five (75) 4'x6' double-sided poster stands, with sufficient space for viewing between aisles. Six (6) break-out group meeting rooms that can each accommodate up to 30 participants when configured for a classroom set-up. Thirty chairs should be available in each room. The rooms should be easily accessible from the large general session meeting room. All of the meeting space above is to only be utilized by NSF for the duration of the conference. Access should be provided to the rooms through 9 p.m. on Monday night; 6 p.m. on Tuesday night; 9 p.m. on Wednesday night; and 1 p.m. on Thursday. Assistance is required on the first and last day of each seminar with loading and unloading heavy boxes of materials. All applicable fees must be included. SLEEPING ROOMS REQUIREMENT: The facility must provide (or have access to) up to 150 single, private rooms with private baths for the first three nights of the conference (Monday, Tuesday, Wednesday). All lodging rooms must be at the same location as the conference facility. Internet connection is required in sleeping rooms. All applicable fees must be included. AUDIO VISUAL REQUIREMENT: Large general session room requirements: one (1) overhead projection screen; one (1) LCD projector configured for use with an NSF-provided laptop; one (1) podium with one (1) podium microphone and one (1) wireless microphone; two (2) portable, hand-held, wireless microphones; five (5) flip charts with pads required; and, wireless internet connection needed each day. On Wednesday evening, a dais/table and chairs for 5 panelists and 2 microphones will be required. All applicable fees must be included. Large exhibit hall: seventy-five (75) double-sided, free-standing, poster display stands with 4' high x 6' wide faces made of cloth or cork. [This may need to be provided through a third-party.] All applicable fees must be included. Break-out room requirements: one (1) flip chart with pad required in each room. All applicable fees must be included. FOOD REQUIREMENT: On-site restaurant needed with adjoining dining area for all meals. Meals: Vegetarian options are required. Full menu selection for dinner is required. At least a 2 ½ hour dining window needed to allow maximum flexibility for participants. Buffet breakfast needed for Tuesday, Wednesday, and Thursday for 75 participants each day. Buffet lunch needed for Tuesday and Wednesday. Reception for 200 participants needed for Monday evening. Morning and afternoon breaks for participants need to be continuous from 8:30 am-5:00 pm and include light refreshments. All applicable fees must be included. NOTE: Pursuant to the National Science Foundation Authorization Act of 1950, NSF may use appropriated funding for special activities which includes meals and beverages.
