- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals/quotes are being requested and a written solicitation will not be issued. This is not a total small business set-aside. The associated NAICS code is 721110 and the small business size standard is $7Million. The small Business Competitiveness Demonstration Program is not applicable. This solicitation is issued as a Request for Quote (RFQ). Any offers received will be considered. However, due to extensive market research and short time-frame, it is the Government's intent to award to Marriott Shoals Hotel & Spa, 10 Hightower Place, Florence, AL 35630. The hosting hotel shall provide the following: 1. Support Equipment: Conference (main meeting) room, 0800-1700 daily, 22-25 August 2011, to accommodate 70 personnel. Set-up will be evening of 21 August 2011. a.Additional Meeting Space (1) Designated Break Room for the AMC CG and Breakout Rooms as stipulated in the Event Agenda below. 2. Morning Meals or Equivalent: Food and Beverage: Morning, Lunch and Dinner accommodations and specific details are listed below for the period of 22-25 August 2011. a.The hosting hotel shall have the food and beverage ready for the mornings of 23-25 August 2011 in accordance with Event Agenda timeline below. b.The hotel shall provide as part of the proposal bid the food and beverage to support a group of 70 personnel. c.Additional refills for coffee and water shall be made available and delivered on an as needed basis. 3. Lunch and Dinner Meals or Equivalent: a.The hosting hotel shall have the food and beverage ready for the afternoons, 23-24 August 2011, and evenings, 22-24 August 2011. See Event Agenda timeline below. b.The hotel shall provide as part of the proposal bid the food and beverage to support a group of 70 personnel. c.Additional refills for coffee and water shall be made available and delivered on an as needed basis. 4. Reservation Information: a.The hotel will have a group listing for the AMC FY 11 Commanders Conference. All individuals will be responsible for making their own room reservations and are responsible for their own payment utilizing the Defense Travel System (DTS). b.The United States Government request Tax Exemption for all room accommodations. AGENDA: DATE / TIME / EVENT Monday, Aug 22nd / 1930-Until / Plated Dinner Tuesday, Aug 23rd / 0800-2130 / Breakfast, Lunch, and Dinner Wednesday, Aug 24th / 0800-2130 / Breakfast, Lunch, and Dinner Thursday, Aug 25th / 0700-0800 / Breakfast 5. Audio / Visual Equipment: 22-25 August 2011 (1) Screen, Microphone, and Telephone Connections a)Lectern Mic b)2 Wireless Lavalier Mics c)2 Static IP Addresses d)Phone Line e)4 Direct Dial Phone Lines f)Projector g)Cradle Screen h)Tech Hours (8 Hours) i)1- 16 Channel Mixer j)12 Low Profile Mics (2) Installation and Set-up of Audio Equipment will be fully operational by the evening of 22 August 2011 The following provisions apply to this acquisition: 52.212-1, Instructions to Offerors -- Commercial 52.212-4, Contract Terms and Conditions -- Commercial Items 52.212-5, Contract Terms and Conditions Required To Implement Statutes Or Executive Orders -- Commercial Items, The offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications -- Commercial Items, with its offer. 252.232-7003 Electronic Submission of Payment Requests and Receiving Reports. 252.212-7001 Contract Terms and Conditions Required to Implement Statutes or Executive Orders Applicable to Defense Acquisitions of Commercial Items. The Government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the government, price and the factors contained in the solicitation ALL quotes and ALL related questions must be submitted to the following email address: rhonda.m.reeeves@us.army.mil. No phone calls, please. As part of your proposal please provide a statement indicating that you are able to meet ALL of the requirements mentioned in the RFP. Your hotel must have a block of sleeping rooms available for the dates indicated to accommodate the stated number of personnel. If you cannot meet ALL of the requirements, your proposal will be considered technically unacceptable and you will not be eligible for award.
