Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. 1. Specific requirements: a. Rooms at or below per diem rate. b. Room block (no penalties for attrition or cancellation): # RoomsCheck-inCheck-out 5Thu, 11 AugFri, 19 Aug 10Sun, 14 AugFri, 19 Aug 40Mon, 15 AugThu, 18 Aug 120Mon, 15 AugFri, 19 Aug c. Registration booth within proximity to check-in area beginning 15 Aug 2011. d. Morning and afternoon snack/refreshments during conference breaks. e. Audio/visual support as outlined in meeting space requirements. f. Media room w/printer capability. g. No-host icebreaker in local lounge/cash bar for approximately 75. h. Low or No conference fee. 2. Meeting space requirements (all spaces are for classroom-style layout with no more than 3 people per 8' table): a. Friday, 12 August: Small staging room for storing supplies to be set up Monday morning. b. Sunday, 14 August: Meeting space for 10 personnel (1000-1500) - Screen with A/V table and power strip. c. Monday, 15 August: (1) Meeting space for 10 personnel (0800-1700) - Screen, A/V table and power strip. (2) Conference room set-up, (0800-1700) (3) Registration center/area for conference check-in (1300-1800). - Tables: 2x 8' and 1x 6' with power access. (4) Social/Reception area for 75 (1700-1900) d. Tuesday, 16 August: (1) Registration center/area near conference rooms for late check-in (0700-0830) - Tables: 2x 8' and 1x 6' with power access (will remain as information tables). (2) Meeting space for 10 VIPs breakfast (0700-0800) e. Tuesday, 16 August through Thursday, 18 August: (1) Meeting space for 150 personnel (0800-1700) -Projector and screen, A/V table and power strip, speaker's microphone/podium, sound system, and 2 roving microphones. (2) 3 additional breakout meeting spaces for 30-40 personnel each (0800-1700) - Screen with A/V table and power strip. 3. Hotel requirements: a. Conference/Hotel registration website. b. Within 2 blocks of 16th Street Mall. c. Early check-in/Late check-out. d. Airport Shuttle Service. 4. Other Considerations: a. Discounted parking. b. Refrigerator/microwave in rooms. c. Free internet. 5. Please include any discount programs available to conference attendees or additional conference add-ons as provided by typical conference agreements. 6. Entire cost of conference is paid for in per diem/conference fees by individual GTC. 7. Third-party vendors submitting proposals MUST include a minimum of one on-site personnel for the entirety of the event at no additional cost to the government.
